SeroPOS app help: Admin

Admin is the setup area inside the SeroPOS app, opened from the drawer by an Admin or Manager. From here you manage products, categories, units, taxes, variations and modifiers, users and roles with POS permissions, store details, receipt layout, types of service and payment methods.

Find your way around AdminAdmin is where you set up everything the till uses. Open it from Drawer › Admin. Tiles are grouped into Catalog (Products, Categories, Units, Taxes, Variation Groups, Modifier Groups), Settings (Users & Roles, Edit Restaurant, Receipt Layout, Types of Service, Payment Methods, Reward Points, Printer Setup and more) and Tools (Back Office, Catalogue QR, demo data, Excel import and others). A lock on a tile means either your plan doesn't include it or your role needs approval to open it.Manage products in the SeroPOS appAdmin › Products is the master list of everything you sell. Search by product name, SKU or category, tap a product (or its pencil) to edit it, tap the bin to delete it, or tap + Add Product to create a new one. Each row shows the photo, name, category and SKU, with tags such as Variable for items with variations and Not for selling. Changes reach your other tills after the next sync.Add or edit a product in the SeroPOS appCreate or change a product from Admin › Products. Fill in the Product name, choose its Category, Unit and Tax rate, and say whether the Price includes tax. Pick Single for one price or With variations for an item sold in sizes or options, each with its own price. Then tick any Modifier groups, add a photo and tap Create Product (or Save Changes when editing). Categories, units and taxes must exist before a product can be saved.Set up categories in the SeroPOS appCategories group your products on the POS grid, for example Drinks, Starters and Mains. Open Admin › Categories and tap + Add Category, type the Category name, optionally choose a Parent category to make it a sub-category, and tap Save. Turn on Hide in POS to keep a category in your catalogue without showing it at the till. Sub-categories are listed indented under their parent.Set up units in the SeroPOS appUnits say how a product is counted and printed on the receipt, such as Pieces (Pc), Kilogram (Kg) or Litre. Open Admin › Units and tap + Add Unit, enter the Unit name and Short name, and turn on Allow decimal quantities for anything sold by weight or volume. For a larger unit, such as a case of 10, use Made of (for a larger unit) to say what it is made of and how many. Tap Save.Set up taxes and tax groups in the SeroPOS appSet up the taxes your products charge in Admin › Taxes. Tap + Add Tax and enter a Tax name and Rate (%) for each single rate, such as GST@5% and PST@7%. To charge two rates together, add a tax with Tax group (combine rates) turned on and tick the rates it combines, for example BC TAX = GST 5% + PST 7%. Tick Default on the tax that new products should get.Set up variation groupsA variation group is a reusable set of options, such as Size with Small, Medium and Large. Create it once in Admin › Variation Groups by typing a Group name and its values, then use it on any product sold With variations. The price of each value is set on each product, so a large coffee and a large tea can cost different amounts. At the till, staff pick the option when they add the item.Set up modifier groupsA modifier group is a list of add-ons, such as Toppings with Extra cheese at $1.50 and Bacon at $2.00. Create it in Admin › Modifier Groups: type the Group name, then each Option with its Price, and save. Then open each product that should offer it and tick the group under Modifier groups. When staff sell that item, the till asks which add-ons the customer wants.Add staff users in the SeroPOS appGive each staff member their own login from Admin › Users & Roles. Tap + Add User, enter their name, a Username (just the name; the @ part with your business handle is added for you), a Password, their Role and the locations they work at, then tap Save. The app shows a card with the sign-in details to copy and hand over. Standard includes 3 users and Pro includes 5; you can add 3 more users for $10/mo.Set roles and POS accessA role is a named set of permissions, such as Cashier, Server or Shift Manager, that decides what its users can do. Open Admin › Users & Roles › Manage roles & permissions and tap Add Role. Name the role, turn on Service staff if its users wait tables, then use the POS Access tab to tick what they can use at the till: Sales & Transactions, Checkout Buttons, Payment Types, Admin Sections and Device & Setup. Web Access sets their back office permissions.Approve a locked action with a manager passwordWhen a staff member taps something their role doesn't allow, such as Refund Sale or a discount, the app opens Approval Required instead of refusing outright. Anyone whose role does have that permission, usually a manager or the owner, enters their Login ID and Password and taps Approve. The action goes through once; the next time, approval is needed again. The staff member's own role doesn't change.Edit your store detailsAdmin › Edit Restaurant holds the details printed at the top of every receipt: business and location name, address, phone, email, website, and your tax label and number, plus an optional logo. The Receipt Header Preview at the top updates as you type. Under Location & reporting you also set the Timezone and who receives the daily sales report by email and when. Tap Save Restaurant Details. In Retail Mode the tile is called Edit Store.Customise the receipt layout in the SeroPOS appAdmin › Receipt Layout sets the text and options on your printed receipts: a Receipt heading such as Tax Invoice, two sub-heading lines, the Footer text, an optional logo, and Print barcode on receipt. If you have more than one layout, pick it in Layout first. Tap Save Receipt Layout. Your business name and address come from Edit Restaurant, not from this screen.Set up types of serviceTypes of service are the ways an order can be placed, such as Dine-in, Take Away and Delivery. Each appears as a card on the Home screen. Set them up in Admin › Types of Service: tap + Add Service Type, enter the Service name, and add an optional Packing / service charge as a Fixed amount or a Percent of order. Enter 0 for no charge. Tap Save.Choose payment methods in the SeroPOS appAdmin › Payment Methods decides which ways customers can pay at this location. Turn Cash, Card, Cheque and Other on or off under Standard, and add up to seven of your own under Custom, such as E-Transfer. Whatever is on here appears on the payment screen. Changes only take effect after you tap Save Payment Methods.Open the back office from the appThe web back office has the full reports and settings that aren't in the app. To open it already signed in, go to Admin › Tools › Back Office. The app creates a one-time sign-in link that lasts 60 seconds. On Windows the back office opens inside the app; on other devices it opens in your default browser. Changes you make there reach the app after the next sync.Import products from ExcelTo add your whole menu at once, use the two Excel tools in Admin › Tools. Tap Download Excel to get the product import template (.xls), fill in one row per product, then tap Import Products and choose the filled-in .xls file. When the upload works, the app says the products were imported and they appear on the POS automatically. The file must stay in .xls format.Set up shifts and attendanceAdmin › Tools › HRM & Payroll is where you set up the shifts that let staff clock in at the till. Work through the Setup Guide tab from top to bottom. The quickest working setup is one Flexible shift (for example All Day) with every employee ticked under Assign Users, plus Allow users to enter their own attendance turned on in Settings. Until a person is assigned to a shift that covers today, clock-in is refused with a no active shift error.Clock in and clock outStaff record their hours at the till from Drawer › Clock In/Clock Out, or the clock icon in the app bar. They enter their User ID and their own password, then tap Clock In at the start of a shift or Clock Out at the end. Clock-in works only after a manager has set up a shift in Admin › Tools › HRM & Payroll and assigned the person to it; otherwise it is refused with a no active shift error.
