Serial and IMEI tracking in SeroPOS

Turn on per product

Enable IMEI or serial number on the products that need it, and leave it off for the rest.

Entered at the sale

Staff record the serial or IMEI on the sale line for the unit handed over.

On the invoice

Invoice layouts can print the serial or IMEI under each product line.

Set on the till

The app's product form has a Track IMEI/Serial switch.

The Repair add-on records serial numbers on job sheets for devices you fix.

Know which unit went to which customer

Two phones of the same model look identical in a stock count. When one comes back under warranty, or the carrier asks about a stolen handset, what matters is the serial or IMEI. SeroPOS lets you record it on the sale itself. The number belongs to that invoice, so you can match a returned unit to the sale and the customer who bought it.

Electronics stores, phone shops, computer stores and tool and equipment dealers use it for anything sold with a unique number. It is equally useful for anything that is sold under warranty, registered with a maker, or likely to be checked against a police or carrier database later, such as bikes, power tools or cameras.

Turn it on for the right products

On the back office product form, tick Enable product description, IMEI or Serial Number. In the SeroPOS app, the same option is the Track IMEI/Serial switch on the Admin › Products form. Only the products you mark ask for a number, so the till does not slow down for accessories and cables.

On the web Create Invoice screen, each line has room for notes and serials. Type or scan the number of the unit you are handing over. Scanning the serial barcode on the box is faster and avoids typing mistakes, which matters when a single wrong digit makes a warranty check fail months later.

Printed on the invoice

Invoice layouts include an option to show the sale description or IMEI on product lines. Turn it on in Settings › Invoice Settings › Invoice Layouts, and the number prints under the product on every invoice using that layout. The customer has proof of exactly what they bought. It also helps if it is stolen.

Add a warranty to the product or the line, and the warranty name and expiry can print on the same invoice, which saves arguments when the customer comes back. The invoice becomes a single record of the unit, its number and its cover, which is exactly what you and the customer need when a repair or warranty question comes up.

Serials in repairs

If you also fix devices, the Repair add-on module records the brand, device type, model and serial number on each job sheet, along with the reported problem and a pre-repair checklist. Customers can look up their repair by job sheet number, optionally with the serial. Status updates can go out by SMS.

Between sales and repairs, a phone shop has the device's number on file from the day it was sold to the day it comes in for a new screen. That record helps with trade-ins too, since you can check the history of a device a customer wants to sell back to you before you make an offer.

Frequently asked questions

How do I record IMEI numbers in SeroPOS?

Turn on Enable product description, IMEI or Serial Number on the product in the back office, or Track IMEI/Serial on the app's product form. When you sell that product, enter the IMEI or serial on the sale line. Scan the box to save time.

Does the serial number print on the receipt?

It can. In Invoice Layouts, turn on showing the sale description or IMEI on product lines. The number then prints under the product on invoices that use that layout. Use a layout with it turned on for any till that sells serialised products.

Can I use serial tracking only on some products?

Yes. The setting is per product, so only phones, laptops or other items you mark ask for a number. Accessories and other products sell as normal. That keeps the counter quick for small items. Mark only what needs it. Simple.

How does this help with warranty claims?

The serial or IMEI is stored with the sale and printed on the invoice. When a unit comes back, match its number to the invoice to confirm the purchase date, the customer and any warranty attached to the line. That shortens warranty conversations.

Can I track serial numbers for repairs?

Yes, with the Repair add-on module. Job sheets record the device's brand, type, model and serial number, and customers can check repair status by job sheet number, optionally with the serial. It suits phone and computer repair shops in particular.
