Repair job sheets in SeroPOS

Device details

Brand, device type, model and serial number for every job, with brands and models you set up once.

Passcode or pattern

Record the device's passcode or draw its pattern lock so technicians can test it.

Pre-repair checklist

A checklist that comes from the device model, so every phone or laptop is checked the same way.

Problem, condition, accessories

Quick tag inputs for the reported problem, the device's condition and what came in with it.

Technician and estimate

Assign a technician, set the expected delivery date and estimated cost, and add photos.

Job sheet to invoice

Create the repair invoice from the job sheet, with device and warranty details on it.

Booking in a repair

The Repair add-on adds a Repair menu to the back office and a green Repair button in the header. Choose Add Job Sheet and pick the customer. Choose the service type: carry-in, pick-up or on-site, with an address for the last two. Then the device: brand, device type, model and serial number.

Record the security: a passcode, or the pattern lock drawn on screen. Tick through the pre-repair checklist for that model, and add the reported problem, the device's condition and accessories as quick tags. Assign a technician, set the expected delivery date, estimated cost and status, add comments and photos, and fill any of five custom fields.

  • Customer and service type
  • Brand, device, model and serial
  • Passcode or pattern lock
  • Pre-repair checklist
  • Problem, condition and accessories
  • Technician, delivery date and estimate
  • Photos and custom fields

Checklists and device models

Under Repair settings, Device Models holds each model with its brand, device type and repair checklist. When a job sheet is created for that model, its checklist appears, so every intake covers the same points: screen, buttons, cameras, charging port, water damage indicators. A consistent intake protects you if a customer later says a fault was not there when they dropped the device off.

Settings also hold default problem, condition and configuration values, the job sheet prefix, the default status and your terms and conditions. The terms print on the job sheet with signature blocks, so the customer signs that they agree before you start. Keep the terms short and plain, so customers actually read them before they sign.

Managing the workload

Job Sheets lists every job in pending and completed tabs. Row actions let you view, edit, change the status, upload documents, delete or create the invoice. Technicians see only the jobs assigned to them unless their role can view all, which keeps each bench focused. Customers get their devices back faster when nothing is missed.

The repair dashboard charts job sheets by status and by technician, and shows trending devices, models and brands. It tells you at a glance how much is waiting, who is overloaded and which devices you see most. Use it to plan stock of common parts, and to decide which repairs to promote.

Invoicing and labels

When the work is done, create the invoice from the job sheet. The repair invoice screen is the POS with a repair panel holding the status, device, model, serial, security, defects, checklist, warranty and due date. Add parts and labour as lines and take payment. Parts used come off stock like any other sale.

The invoice layout can print the repair details: warranty, serial, defects, model, brand, checklist and status. Print a barcode device label for each job to stick on the device or its bag, so nothing gets mixed up on a busy bench. Labels also make it quicker to find a device when the customer comes to collect it.

Frequently asked questions

Is the repair module included in SeroPOS?

Repair is an add-on module. It adds job sheets, repair statuses, device models with checklists, repair invoices, device labels and a status page for customers. Ask us about adding it to your plan. The trial lets you try the main SeroPOS features before you decide on add-ons.

Can I record the customer's passcode?

Yes. Each job sheet has a security section for a passcode or a pattern lock, which you draw on screen. It prints on the job sheet for the technician. Handle it with the same care as any customer data. Only staff who need it should see the job sheet with the passcode on it.

Can technicians see only their own jobs?

Yes. Technicians see only the job sheets assigned to them unless their role has permission to view all job sheets. Managers can be given view all to see the whole workload. Technicians then focus on their own bench, and nobody works on the same job twice.

Can I print a job sheet for the customer to sign?

Yes. The job sheet prints with your terms and conditions, signature blocks and the pattern lock if one was recorded. Set the terms in the repair settings. A signed job sheet protects both you and the customer if there is a disagreement about the device's condition or the agreed price.

How does a job sheet become an invoice?

Use create invoice on the job sheet. The repair invoice opens with the device, serial, defects, checklist and warranty filled in. Add parts and labour, take payment, and the invoice can print the repair details. Customers get one clear document that covers the device, the work and the payment.
