WooCommerce POS integration
Manage your products once in SeroPOS and let your WooCommerce shop follow. Categories, products, prices and stock go up to the website, and web orders come back down as sales, with taxes and order statuses mapped the way you set them.
Woocommerce in SeroPOS
Product and category push
Send categories, then products with variations, attributes, images, prices and stock levels to your WooCommerce store.
Web orders as sales
Orders placed on the website come into SeroPOS as sales, and customers are created from the shopper's account or billing address.
Tax rate mapping
Map each SeroPOS tax rate to its WooCommerce rate, so web orders carry the right tax when they land in the POS.
Order status mapping
Decide what each WooCommerce status, from pending to refunded, means as a POS sale status and shipping status.
Choose what syncs
Pick which fields update on create and on update, such as name, price, images, description and stock, and turn sync off per product.
Sync log
Every sync is recorded in a log with details per entry, so you can see what went to the shop and what came back.
How the sync works
SeroPOS is where you keep your catalogue. From the WooCommerce dashboard in the back office you sync categories first, then products, and the shop builds its listings from them: variations and attributes for things like size and colour, images, the selling price and the stock on hand. You can sync new products only, or all of them when prices change.
Orders flow the other way. Press Sync orders, or let the signed webhooks bring them in as they are placed, and each web order becomes a sale in SeroPOS with its customer and items. Stock comes off the same count the till uses, so the shop and the counter share one inventory.
Connecting your store
In WooCommerce, create REST API keys with read and write access. Then open WooCommerce in the SeroPOS sidebar, go to API Settings, and enter your store URL with the consumer key and secret. Choose the business location the web shop sells from, because its stock is what the website will show.
The Webhooks tab gives you the URLs and secret to add in WooCommerce for order created, updated, deleted and restored. With those in place, orders arrive in real time. Turn on auto-sync as well and SeroPOS runs a full sync twice a day, at 1:00 and 13:00, to catch anything missed.
- Create REST API keys in WooCommerce
- Enter store URL, key and secret in API Settings
- Pick the location the shop sells from
- Add the order webhooks to WooCommerce
- Map tax rates and order statuses
- Sync categories, then products, then orders
Product settings that matter
The Product sync tab decides how your listings look. Set a default tax class, whether prices go up tax inclusive or exclusive, and which selling price group the shop uses, so web prices can differ from counter prices if you want. You also choose whether the long or short description is sent.
Separate choices for create and update let you protect work done in WooCommerce. For example, you might send name, price, images and description when a product is first created, then only price and stock afterwards. Products you never want online can be kept off with the Disable WooCommerce sync box on the product form.
Orders, statuses and customers
WooCommerce orders move through statuses such as pending, processing, completed, cancelled, refunded, failed and on-hold. On the Order sync tab you map each one to a SeroPOS sale status and a shipping status, so, for example, a processing web order can come in as a sale that is still waiting to ship, while a cancelled one is mapped to a status that keeps it out of your sales.
If the shopper has an account, SeroPOS links the sale to that customer. Guest orders create a customer from the billing address. Those customers then appear in your contacts with their purchase history, alongside people who buy at the counter, and a notification tells you when new orders have synced.
Fixing a sync and starting over
The Sync Log lists every run, with details for each entry, so a product that did not appear on the website can be traced to the reason. Most problems are a missing tax mapping or a product set not to sync. Fix the cause, run the sync again and check the log to confirm the product went up.
If you change shops or want a clean start, the dashboard has reset actions for synced categories and synced products. These clear the link between SeroPOS and the old listings, so the next sync creates them fresh. Each part of the integration has its own permission, so you can let a staff member sync orders without giving them the API settings.
Frequently asked questions
Does SeroPOS sync stock levels with WooCommerce?
Yes. Stock is one of the fields sent with each product, taken from the business location you link to the shop. When a web order comes in as a sale, it reduces the same stock the till uses. Run a product sync, or let the twice-daily auto-sync run, to refresh stock on the website.
How quickly do WooCommerce orders reach the POS?
With the order webhooks added in WooCommerce, orders are sent to SeroPOS as they are created, updated, deleted or restored, so they arrive almost straight away. Without webhooks, press Sync orders on the dashboard, or rely on auto-sync, which runs twice a day at 1:00 and 13:00.
Can my website prices be different from my store prices?
Yes. On the Product sync tab, choose which selling price group the website uses. Products then go to WooCommerce at that group's prices, while the till keeps charging your normal selling price. You also choose whether the prices sent are tax inclusive or exclusive.
Can I keep some products off the website?
Yes. Tick Disable WooCommerce sync on the product form and that product is never sent to the shop. This suits items you only sell in person, such as made-to-order food, services or stock you keep for the counter. You can also sync only new products rather than all of them.
Which plan includes WooCommerce?
WooCommerce is included in the Pro plan at $50 a month, together with QuickBooks, CRM, recipes, the floor plan designer and advanced reports. Pro covers one location and five users. You can try it during the 14-day free trial, with no card needed, before deciding.
