Switch to SeroPOS

Switch to SeroPOS without starting over

Changing your point of sale is mostly a data job: products, customers, suppliers, stock and, if you want them, past sales. SeroPOS imports each of these from spreadsheets, can read your QuickBooks Desktop file, and gives you demo data to train on before the first real shift.

Start with your products

Export your product list from your current system as a spreadsheet. In the app, open Admin, then Tools, tap Download Excel for the template, copy your products into it and use Import Products to load the file. The web back office has the same import under Products, and Bulk Edit lets you fix prices, categories or taxes across many products at once afterwards.

Set up the pieces products depend on first: categories, units, taxes and tax groups, variation groups such as Size, and modifier groups with their prices. The Getting Started guide in Admin walks through them in that order, so your imported products land in the right places.

Customers, suppliers and opening stock

Import Contacts in the back office loads customers and suppliers from a spreadsheet, with their contact details, groups, credit limits and opening balances. That way the accounts your regulars carry and the balances you owe suppliers come with you rather than being retyped.

Import Opening Stock sets the quantity on hand for each product at each location, with lot numbers and expiry dates where you track them. Do it as close to the switch as you can, ideally after closing on the last day with the old system, so the counts match the shelves.

Bring past sales if you want them

You do not have to bring history, but it helps reports and customer records start full. Import Sales in the back office takes a spreadsheet of past sales: choose the location and the column that groups lines into one sale, map the fields, preview and import.

Every import is kept as a batch. If something looks wrong, Revert Import removes that batch so you can fix the file and try again, without touching anything else in the account.

Coming from QuickBooks Desktop

If your accounts live in QuickBooks Desktop, the Import from QuickBooks screen reads your company file through a read-only Web Connector app that only ever sends queries. Bring the current financial year across, or opening balances only, and set a cutover date.

Before anything is written, you check the result against your books: receivables and payables compared with QuickBooks aging, a preview of what will be created, and a list of exceptions. Commit when it matches, check the trial balance reconciliation, and undo the import if you need to, as long as nothing has traded since.

Practise before the first real shift

Add Demo Data fills a fresh account with a sample menu, so staff can ring sales, hold and resume orders, split bills and print kitchen tickets without touching your real catalogue. Remove Demo Data clears it when you are ready to load your own products.

Pick a quiet day to switch. Run the old and new systems side by side for a shift if you can, connect the receipt and kitchen printers and card terminal early, and close the first day with the Daily Sales Report so you know the till balances.

  • Set up categories, units, taxes and modifiers
  • Import products, then contacts and opening stock
  • Connect printers and the card terminal
  • Train on demo data, then remove it
  • Go live on a quiet day and close with the Z report

Frequently asked questions

Can I import my products from my old POS?

Yes, through a spreadsheet. Export your products from the old system, copy them into the SeroPOS Excel template from Admin, then Tools, then Download Excel, and load it with Import Products. The web back office has the same import. Set up categories, units and taxes first so each imported product finds its place.

Can I bring my customer list and their balances?

Yes. Import Contacts in the back office loads customers and suppliers from a spreadsheet, including contact details, customer groups, credit limits and opening balances. Customers who already owe you, or suppliers you already owe, then show the right balance on day one, and their ledgers carry on from there.

Can I import my past sales history?

Yes. Import Sales takes a spreadsheet of past sales: choose the location, pick the column that groups lines into one sale, map the fields and preview before importing. Each import is saved as a batch, and Revert Import removes a batch if you need to fix the file and run it again.

I use QuickBooks Desktop. Can SeroPOS read my data?

Yes, on the Pro plan. Import from QuickBooks reads accounts, customers, vendors, items, taxes, open invoices and bills through a read-only Web Connector app, so your company file is never changed. Check the figures against your books, commit, and undo the import if you need to, provided nothing has traded since.

How long does switching to SeroPOS take?

It depends mostly on how clean your product list is. Setting up categories, taxes and printers and importing a tidy spreadsheet can be done in an afternoon, and the 14-day free trial gives you time to train staff on demo data first. Larger catalogues with many variations or modifiers take longer to check before you go live.
