Write your warranties down once

Many shops offer cover on what they sell: 30 days on refurbished phones, a year on tools, two years on appliances. Writing it by hand on every receipt is slow and easy to forget. In SeroPOS, warranties are records you create once in the back office under Products › Warranties. Each has a name, a description of what it covers and a duration in days, months or years.

Turn on Enable warranty in Business Settings › Product to use them. Once it is on, a Warranties screen appears under Products and a warranty field is added to the product form, so you can start attaching cover to the items you sell right away. Set up takes minutes. Start with one.

Attach them to products and sales

On the product form, choose the warranty that usually comes with that product. On the web Create Invoice screen, each line can carry a warranty too, which suits extended cover sold as an upgrade or a different term for an ex-display item. Both options work together. Choose per sale. Pick what suits.

The warranty's start is the sale date, so its expiry is worked out from the length you set. A one-year warranty on a sale today expires a year from today. There is no need to calculate dates by hand at the counter, and the customer gets the exact end date printed rather than a vague promise of cover.

  • Products › Warranties: name, description, duration
  • Product form: default warranty
  • Sale line: warranty for that item

Printed where the customer will keep it

Invoice layouts include product detail options for warranty name, warranty expiry and warranty description. Turn them on in Settings › Invoice Settings › Invoice Layouts and they print under the product on the invoice. The customer has the terms and the end date in writing, and you have the same on file.

If the item also has a serial or IMEI number recorded, it prints on the same line, tying the cover to the exact unit. That way the customer cannot swap a faulty unit for a different one under the same paperwork, and you can check the claim in seconds. It is quick.

Handling a claim

When a customer comes back, find the original sale in the back office or from Recent Transactions on the till. The invoice shows the warranty and whether it is still in date. With serial tracking, matching the number on the device to the invoice confirms it is the same unit.

Repair shops can go further with the Repair add-on module, where job sheets and repair invoices carry warranty details along with the device information. Between the two, a shop that both sells and fixes devices has one place to look for what is covered and until when. Nothing gets lost.

Frequently asked questions

How do I add a warranty in SeroPOS?

Turn on Enable warranty in Business Settings › Product. Then open Products › Warranties in the back office and add a warranty with a name, a description and a duration in days, months or years. Attach it to products or to individual sale lines.

Can each product have its own warranty?

Yes. Choose a warranty on the product form and it applies to that product's sales. On the web invoice screen you can also set a warranty on an individual sale line. Leave it blank for items sold without cover. It is flexible.

Does the warranty print on the invoice?

Yes, when the invoice layout includes it. In Invoice Layouts, turn on the warranty name, warranty expiry and warranty description options, and they print under the product line. Set them on the layout used by the till that sells covered items.

How is the warranty expiry date worked out?

From the sale date and the warranty's duration. A 12-month warranty on an item sold today expires 12 months from today, and that date prints on the invoice. No one has to work it out by hand. It is automatic.

Can I combine warranties with serial numbers?

Yes. Products with IMEI or serial tracking can also carry a warranty. Both print on the invoice line, so the customer's cover is tied to the exact unit they bought. That makes warranty checks fast and fair. Both stay on file.
