Choosing a design

Invoice layouts are in the back office under Settings, then Invoice Settings. Each layout starts from a design. Modern is the full-page design for A4 or Letter paper. Classic, Elegant, Detailed and Columnize-taxes suit normal printers, with Columnize-taxes giving each tax its own column. Slim fits 80 mm receipt paper and Slim 2 fits 58 mm.

Create as many layouts as you need and mark one as default. A shop might keep a Slim layout for the counter and a Modern layout for trade invoices that are emailed or posted. Changing a layout later changes how future prints look without touching the sales themselves. Both can share your logo.

  • Modern: A4 or Letter
  • Classic, Elegant, Detailed, Columnize-taxes
  • Slim: 80 mm thermal
  • Slim 2: 58 mm thermal

Header and customer details

At the top, add your logo, header text and up to five sub-heading lines for your address, phone, website or licence numbers. Show your business tax ID for GST/HST or sales tax purposes. The invoice heading can add a paid or unpaid suffix, so the customer can see at a glance whether they owe anything.

Choose which labels appear for invoice number, date and due date, the date-time format and whether to show the sales person and location name. The customer block can show their client ID, tax number, reward points and custom fields. Only the fields you turn on appear, so a short receipt stays short.

Line items and totals

The product table can show brand, SKU, category code, the sale description or IMEI, product custom fields, lot number, expiry date, product image and warranty details. Turn on only what your customers need; a coffee shop receipt needs far less than an electronics invoice with serial numbers and warranties. A simple layout is easier for customers to read.

Below the lines, set the labels for discount, tax, total, round off, amount due and amount paid. Show the payments taken, the change returned and the customer's total balance due across all sales. Print the total in words, show a barcode, choose a highlight colour and add footer text for returns policy or thank-you notes.

Where each layout is used

Each business location has an invoice layout for POS sales, one for sales and one for direct sales made in the back office. Set the layouts on the location, and each kind of sale prints in the right design without anyone choosing at the till. A POS setting can show an invoice layout dropdown for staff who need to choose.

Quotations and credit notes use the same layout with their own headings and labels. That keeps all your documents consistent without designing each type from scratch. The SeroPOS app also has its own Receipt Layout settings in Admin for heading, sub-headings, footer, logo and a barcode. Keep the two looking similar so customers recognise your receipts.

Frequently asked questions

Can I print full-page A4 or Letter invoices?

Yes. The Modern design is laid out for A4 and Letter paper. Create a layout from it with your logo, tax ID and footer, and set it as the layout for back-office sales at your location, or choose it when you print.

Which layout should I use for an 80 mm receipt printer?

Use Slim for 80 mm paper and Slim 2 for 58 mm. They are designed for narrow thermal paper and keep the lines readable. Set the slim layout as the POS layout for the location so till sales print in it.

Can I show GST and PST separately?

Yes. The Columnize-taxes design gives each tax its own column, and the totals section lists tax lines. Add your business tax number in the header so the invoice works for customers who claim input tax credits. Check the wording with your accountant.

Can I hide prices on an invoice?

Yes. Layouts include an option to hide all prices, which is useful for delivery notes or gift receipts. You can also print a packing list PDF from All Sales, which shows items and quantities for packing. Packing lists are handy for orders that ship.

Can different locations use different layouts?

Yes. Each business location sets its own layout for POS sales, sales and direct sales. A second store can have its own address and footer while sharing everything else in the back office. Each store's receipts then show its own details.
