Steps
- Tap the locked action. Locked buttons and drawer rows still show, with a lock badge. Tapping one opens Approval Required with the message This is locked for your role.
- Call someone with access. Ask a manager, or anyone whose role includes this feature, to come to the till.
- Enter their login. They type their Login ID and Password. Both are needed, or the app says Enter a login ID and password.
- Approve. Tap Approve. The action goes ahead this one time.
- If it is refused. Invalid credentials means the login was wrong. If the person's role doesn't include the feature either, the app says they don't have permission and to ask someone who does.
When to use approval and when to change the role
Approval suits actions you want a manager to see, such as refunds, voids or editing a finished sale. If a staff member needs the same thing every shift, tick it in their role's POS Access instead so they aren't held up.
- Approval covers one action only.
- It doesn't sign the staff member out or change who the sale belongs to.
- Kiosk Mode and KDS Mode use a similar Admin or Manager login to switch on and off.
Frequently asked questions
Who can approve a locked action?
Anyone whose role includes that feature, such as an owner or a manager whose role has Refund / Cancel Invoice ticked. They enter their own Login ID and Password in Approval Required.
Does approving give the staff member permanent access?
No. Approval lets that one action through. To give lasting access, edit the role in Admin › Users & Roles › Manage roles & permissions.
