Steps
- Open Roles. In Admin › Users & Roles tap Manage roles & permissions. The list shows each role, how many permissions it grants and how many users have it.
- Add a role. Tap Add Role. To save time, use Start from a role to copy an existing one.
- Name it and set service staff. Type the Role name. Turn on Service staff (Can be assigned to orders as waiter) for servers, so they appear on Select Waiter.
- Choose the app. Under App access pick which app people with this role sign in to; for till staff choose SeroPOS only or Both apps.
- Tick POS Access. On the POS Access tab tick what the role can do at the till, group by group. Use All / None on a group header to tick or clear it.
- Set Web Access. On the Web Access tab tick the back office permissions the role needs, if any.
- Save. Tap Create Role (or Save Changes), then assign the role to users in Users & Roles.
What the POS Access groups cover
Each group lists features with a short description, so you can build a role that matches the job.
- Sales & Transactions: Recent Transactions, Refund / Cancel Invoice, Edit Completed Sale, Daily Sales Report, Open / Close Register.
- Checkout Buttons: Clear Cart, Adjust / Discount, Hold Order, Delivery Mode, Split Payment, Print Bill.
- Payment Types: Cash, Debit, Credit and Other Payment Methods.
- Admin Sections: each Admin tile, from Products to Import / Export.
- Device & Setup: Printer Setup, Multi Monitor, KOT Mapping, KDS Cleanup, App Settings, Sync Database, Subscription & Billing.
Locked by default
Anything not ticked is locked for the role. A locked button still shows, with a lock badge, and tapping it opens Approval Required so someone with access can approve that one action. If a role has no POS features ticked, every gated feature is locked. Default roles are locked and can't be edited or deleted, and a role can't be deleted while users still have it.
Frequently asked questions
How do I stop cashiers giving refunds?
Edit their role and leave Refund / Cancel Invoice unticked under Sales & Transactions in POS Access. When they need a refund, a manager approves it once in Approval Required.
Why is the permissions list empty?
The permission list hasn't synced to this till yet. Run Sync Database from the drawer, then open the role again.
