Steps
- Open Roles. In the sidebar, open User Management and click Roles, then click Add.
- Name the role. Type a Role Name such as Cashier, Manager or Server. Tick Service staff if people on this role serve tables, so they can be picked as the waiter on orders.
- Set product and purchase access. Under Product, tick View product and decide on View Purchase Price, which shows cost prices. Under Purchase & Stock Adjustment, choose view, add, edit and delete, and whether they may add payments.
- Set POS and sales access. Under POS and Sell, tick View POS sell and Add POS sell for cashiers. Leave Delete POS sell, Edit product price from POS screen and Edit product discount from POS screen off unless they should change prices or void sales.
- Set cash register access. Tick View cash register and Close cash register for staff who open and close the till drawer.
- Set reports and settings. Under Report, tick only the reports this role may see, such as View register report or View profit/loss report. Under Settings, Access business settings should stay with owners and managers.
- Allow more locations. Under Business Locations, tick Allow multiple locations if users on this role work in more than one store. The locations are then picked per user.
- Save and assign. Save the role, then open User Management › Users and pick it as the Role on each user.
Useful permission groups
Most screens check a permission, so a role with nothing ticked sees only the welcome page.
- Customer and Supplier: view all or view own only
- Sell: Access sell, Delete Sell, List Drafts, List quotations, View own sell only, Access sell return
- Home: View Home data shows dashboard figures
- Selling price groups: choose which price groups the role may sell at
- Access tables and Access printers for restaurant tills
Tips
Build roles around jobs, not people. Start from the least access a job needs and add permissions when someone asks. The Admin role can't be edited and always has every permission and every location.
Frequently asked questions
How do I stop staff from seeing cost prices?
Edit their role and untick View Purchase Price under Product. Users on that role no longer see purchase prices in product details. Also leave Report permissions such as profit/loss off, because reports show costs and margins.
Can a cashier void or delete a sale?
Only if their role has Delete POS sell (and Delete Sell for invoices). Leave these unticked for cashiers so a manager has to remove a sale. In the SeroPOS app you can also require manager approval for refunds and voids.
What is the Service staff option on a role?
Tick it for waiters, hairdressers or anyone who serves a customer. Users on that role can then be picked as the service staff on an order and appear in the Service Staff Report.
