Steps
- Open Users. In the sidebar, open User Management and click Users, then click Add.
- Enter their details. Fill in Prefix, First Name, Last Name and Email. Leave Is active ? ticked; untick it later to block the user without deleting them.
- Set up sign-in. Under Roles and Permissions, leave Allow login ticked for anyone who signs in. Enter a Username, or leave it blank to auto generate one, then a Password and Confirm Password.
- Choose a role. Pick the Role. The role decides what they can see and do; Admin can do everything and open all locations.
- Choose locations. Pick their primary Location, then tick every other location they work in under Additional locations. The primary location is always included.
- Set sales limits. Under Sales, enter a Sales Commission Percentage (%) if they earn commission, and a Max sales discount percent to cap the discount they can give on a sale. Leave it blank for no limit.
- Limit contacts if needed. Tick Allow Selected Contacts and choose the customers and suppliers this user may see in sale and purchase search boxes.
- Save. Click Save. The user can now sign in to the back office and the SeroPOS app with the username or email and password.
Usernames and staff handles
If your business uses a staff login handle, staff sign in as name@handle. The handle after the @ is set once for the business: 3 to 20 letters and numbers, starting with a letter. Otherwise the username is used as typed.
Password rules and user limits
Admin and Manager users need at least 8 characters with upper and lower case letters, a number and a symbol, and not a password from a known data leak. Everyone else needs at least 8 characters with letters and numbers.
- Standard includes 3 users, Pro includes 5
- Add 3 more users for $10/mo
- Users with Allow login unticked can still be picked as sales staff
Frequently asked questions
How do I give a user access to more than one location?
Their role must have Allow multiple locations ticked under Business Locations. Then edit the user, keep their primary Location and tick the others under Additional locations. In the SeroPOS app they can switch between those locations.
How do I stop a cashier giving big discounts?
Edit the user and enter a Max sales discount percent, for example 10. On a sale they can then give at most that percentage. You can also remove discount permissions from their role under User Management › Roles.
Can I delete a user who has made sales?
Untick Is active ? instead. The user can no longer sign in, but their name stays on past sales and reports, which keeps your history and the sales representative report correct.
What does Allow login do?
It lets the user sign in. Untick it for staff who should appear on sales, for example as a commission agent or service staff, but never sign in themselves. They then need no username or password.
