Set up repair statuses in SeroPOS

Set up the stages a repair moves through at Repair › Settings › Statuses. Each status has a name, a colour and a sort order, and you can tick Mark this status as complete on your final stages so finished jobs move to the Completed tab. Give each status an SMS template, and customers can get a text when their repair reaches that stage.

Steps

  1. Open repair settings. In the back office sidebar, click Repair, then Settings, and open the Statuses tab.
  2. Add a status. Click Add Status and enter the Status Name, such as Received, Waiting for parts or Ready for pickup.
  3. Pick a colour. Choose a Color. It shows on job sheet lists and on the customer's repair status page.
  4. Set the order. Enter a Sort Order so statuses appear in the order work flows through your shop.
  5. Mark final statuses. Tick Mark this status as complete for statuses that end a job, such as Delivered.
  6. Write the SMS template. In SMS Template, write the message the customer gets when a job moves to this status. Use the available tags to include details like the job sheet number.
  7. Save. Save the status. Repeat for each stage of your workflow.

A simple workflow

Most shops get by with five or six statuses: Received, Diagnosing, Waiting for parts, Repairing, Ready for pickup and Delivered. Only Delivered, and perhaps Returned unrepaired, needs to be marked complete. Write SMS templates for the stages customers care about, mainly Ready for pickup.

Good to know

SMS needs your SMS settings configured in Business Settings. Choose the default status for new job sheets in the Settings tab. Repair is an add-on module. The Repair item shows in the back office sidebar when your subscription includes it and your role has the repair or job sheet permissions.

Frequently asked questions

How do customers get a text when their repair is ready?

Give your ready status an SMS template. When staff change a job to that status and tick Send Sms, the customer gets the message.

What does mark this status as complete do?

Jobs in a status marked as complete move from the Pending tab to the Completed tab on Job Sheets, and count as finished on the dashboard.

Can customers see the status colour?

Yes. The colour shows on the repair status page where customers look up their job, alongside the status name and history.
