Manage repair job sheets in SeroPOS

Repair › Job Sheets (/repair/job-sheet) is the list of every device in for repair. The Pending tab shows open jobs and the Completed tab shows finished ones. From each row's actions you can view or print the job sheet, edit it, change its status, upload documents, delete it, or create the invoice when the work is done. Technicians who can only view assigned job sheets see just their own jobs.

Steps

  1. Open Job Sheets. In the back office sidebar, click Repair, then Job Sheets in the top bar.
  2. Find a job. Stay on Pending for open work or switch to Completed. Use the filters and search to find a job by customer, job sheet number or technician.
  3. Open the row actions. Click the Actions button on the job's row.
  4. Change the status. Choose Change Status, pick the new status, add an Update Note and, if the customer should know, tick Send Sms.
  5. Upload documents. Use the upload action to attach photos or documents, such as a signed quote.
  6. Print the job sheet. View the job sheet and print it with your terms and conditions, signature blocks and the device's pattern if one was recorded.
  7. Create the invoice. When the repair is finished, use the create invoice action to bill it with the device details carried across.

Pending and completed

A job moves from Pending to Completed when it reaches a status marked as complete in Repair › Settings › Statuses. Set this on your final status, such as Delivered, so the Pending tab only ever shows work still to do.

Good to know

Permissions decide what staff can do: create, edit and delete job sheets, view all or only assigned ones, and change status. Repair is an add-on module. The Repair item shows in the back office sidebar when your subscription includes it and your role has the repair or job sheet permissions.

Frequently asked questions

Why can't a technician see all the job sheets?

Their role has View Only Assigned Job Sheet. They see jobs assigned to them. Give the role View All Job Sheets if they should see everyone's.

How do I tell a customer their device is ready?

Change the job's status to your ready status and tick Send Sms. The customer gets the SMS template set for that status in Repair › Settings.

Can I attach photos of the device?

Yes. Add images when you create the job sheet, or use the upload documents action from the list later.
