Create a repair invoice in SeroPOS

Bill a repair from Repair › Add Invoice, which opens the POS with a repair panel. Add the parts and labour, then fill in the repair details: status, device, model, serial number, security, defects, checklist, warranty and due date. These show on the printed invoice. Take payment as usual, and from Repair › List Invoices you can print, add a payment, send the customer an SMS or print a device label.

Steps

  1. Open Add Invoice. In the back office sidebar, click Repair, then Add Invoice. Or use create invoice on a finished job sheet.
  2. Choose the customer. Select the customer. If you set a default product in repair settings, it's added automatically.
  3. Add parts and labour. Search and add the parts used and your labour or service products.
  4. Fill in the repair details. Set the Repair Status, Device, Device Model, Serial Number, security details, Defect and the repair checklist.
  5. Add the warranty and due date. Pick a Repair Warranty and the date the device should go back to the customer.
  6. Take payment. Finalise the sale and take the payment, or save it and add the payment later.
  7. Print or notify. Print the invoice, or use Submit & Print Label to print a device label too.
  8. Manage it later. In Repair › List Invoices, use the row actions to print, add payment, notify the customer by SMS or print a label. The SMS Sent column shows whether a message has gone out.

What prints on the invoice

Your invoice layout decides which repair fields print: warranty, serial number, defects, model, brand, checklist and status. Turn them on or off and rename their labels in your invoice layout settings.

The header's green Repair button opens the same repair POS from anywhere in the back office.

Good to know

Repair invoices are normal sales, so they appear in your sales and payment reports. Repair is an add-on module. The Repair item shows in the back office sidebar when your subscription includes it and your role has the repair or job sheet permissions.

Frequently asked questions

Can I add a warranty to a repair?

Yes. Choose a repair warranty on the invoice. The warranty and its duration print on the invoice when the invoice layout shows it.

How do I let the customer know the invoice is ready?

Use the notify action in Repair › List Invoices to send an SMS. The SMS Sent column records that it was sent.

Can I invoice a repair without a job sheet?

Yes. Repair › Add Invoice works on its own for quick repairs. For longer jobs, start with a job sheet and create the invoice from it at the end.
