Run and read the Stock Report

The Stock Report shows what you have on hand and what it is worth. Go to Reports > Stock Report (/reports/stock-report) and filter by Business Location, Category, Sub category, Brand and Unit. The boxes at the top give closing stock value by purchase price and by sale price, potential profit and profit margin %. The table lists every product with its unit price, current stock, stock value, units sold, transferred and adjusted.

Steps

  1. Open the report. In the sidebar, open Reports and click Stock Report. You need the stock report permission.
  2. Filter the products. Pick a Business Location, and narrow by Category, Sub category, Brand or Unit if you need to. Leave them on All for the whole store.
  3. Read the value boxes. Closing stock By purchase price is what the stock cost you; By sale price is what it would sell for; Potential profit is the difference, and Profit Margin % is that difference as a share of sale value.
  4. Read the product table. Each row has Product, SKU, Location, Unit Price, Current stock, Current Stock Value (by purchase price and by sale price), Potential profit, Total unit sold, Total Unit Transfered and Total Unit Adjusted.
  5. Find low or negative stock. Sort the Current stock column to see items running out or showing below zero, which usually means a sale was recorded before a purchase.
  6. Export or print. Use the buttons above the table: CSV or Excel downloads the rows you can see, Print opens a print view, Columns hides or shows columns, and PDF saves the table (offered in most back-office languages).

Who can see stock values

The stock value boxes and value columns need the view product stock value permission. Staff without it can still see quantities. Set it under User Management > Roles.

The report always shows stock as it is now. It has no date filter; for a past period, use the Profit / Loss Report's opening and closing stock or the product's stock history.

Export and print

Every table on this report has the same toolbar: CSV, Excel, Print, Columns and, in most back-office languages, PDF. The exports take the columns that are visible, so hide anything you don't need with Columns first. The totals row at the bottom of the table is included in the export.

Frequently asked questions

Why is the stock value by purchase price zero for some items?

Those items have no purchase price, usually because stock was added without a purchase or opening stock price. Set the purchase price on the product, or record the stock through a purchase or opening stock, and the value will appear.

How do I fix a product whose stock looks wrong?

Open the product's stock history to see each movement. If the calculated stock and the recorded stock disagree, Product Stock Details shows the mismatch and can correct it. For damage or loss, record a stock adjustment instead.
