Steps
- Turn on expiry. The report appears when Enable Product Expiry is on in Business Settings > Product and you have the stock report permission.
- Open the report. In the sidebar, open Reports and click Stock Expiry Report.
- Filter it. Choose a Business Location and, if needed, a Category, Sub category, Brand or Unit.
- Choose the window. Set View Stocks to All, Expired, Expiring in a week, Expiring in 15 days, Expiring in a month, Expiring in 3 months, Expiring in 6 months or Expiring in a year.
- Read each row. Product, SKU, Location, Stock Left, Lot Number, EXP Date and MFG Date, with the total stock left at the bottom.
- Act on short-dated stock. Move stock that expires soon to the front, discount it with a discount rule, or transfer it to a busier location.
- Write off expired stock. For units already past their date, go to Stock Adjustment > Add Stock Adjustment, add the product and lot, choose Normal, and enter Expired as the reason.
Where expiry dates come from
Expiry dates are entered on each purchase line (and on opening stock) when product expiry is on. If an item has no expiry date, it won't appear here. Lot numbers show when Enable Lot Number is on as well.
Writing off expired stock through Stock Adjustment means it also appears on the Stock Adjustment Report and in Total Stock Adjustment on the Profit / Loss Report.
Export and print
Every table on this report has the same toolbar: CSV, Excel, Print, Columns and, in most back-office languages, PDF. The exports take the columns that are visible, so hide anything you don't need with Columns first. The totals row at the bottom of the table is included in the export.
Frequently asked questions
Why can't I see the Stock Expiry Report?
It shows only when Enable Product Expiry is turned on in Business Settings > Product, and your role has the stock report permission. Turn the setting on, record expiry dates on purchases, and the menu item appears under Reports.
How do I take expired stock off my stock count?
Record a stock adjustment for the expired quantity. Open Stock Adjustment > Add Stock Adjustment, choose the location, add the product (and its lot if you track lots), choose Normal and give a reason. The purchase itself stays as it was.
