Steps
- Start an adjustment. In the sidebar, open Stock Adjustment and click Add Stock Adjustment. You need the Stock Adjustment module on and permission to add purchases.
- Fill in the header. Choose the Business Location, leave Reference No empty to number it automatically, and set the Date.
- Choose the type. Pick Normal for everyday reasons like leakage or damage, or Abnormal for things like fire or an accident.
- Add the products. Use Search Products to add each item and enter the quantity to remove. Pick the lot in Lot & Expiry if you track lots. The Subtotal and Total Amount use the cost price.
- Enter what you got back. Type any Total amount recovered, such as an insurance payout or money from selling scrap.
- Give a reason and save. Write the Reason, for example Damaged in delivery or Expired, and click Save.
- Check the list. List Stock Adjustments shows Date, Reference No, Location, Adjustment type, Total Amount, Total amount recovered, Reason and Added By. View opens the details; Delete reverses it.
Normal or abnormal
Both types reduce stock in the same way. The split is for reporting: the Stock Adjustment Report totals normal and abnormal separately, so you can see whether loss is routine shrinkage or a one-off event. The total amount recovered is added back in the Profit / Loss Report.
An adjustment only takes stock away. To add stock you found, or stock that arrived, record a purchase or opening stock instead.
Expired stock
Use the Stock Expiry Report with View Stocks set to Expired to see what's past its date, then record one adjustment for those units with Expired as the reason.
Frequently asked questions
Can I use a stock adjustment to add stock?
No. Adjustments only remove stock for loss, damage or expiry. To add stock, record a purchase from the supplier, or set opening stock for a new product. If stock is simply wrong, Product Stock Details can correct it.
What should I enter as amount recovered?
Anything you got back for the lost stock, such as an insurance claim, a supplier credit or money from selling damaged items as scrap. Leave it at 0 if nothing came back. It is added back when net profit is worked out.
Can I delete a stock adjustment?
Yes, with permission to delete purchases. Use Delete on List Stock Adjustments, and the stock goes back. The option is hidden while a date range filter is applied, so clear the filter first.
