Steps
- Start a transfer. In the sidebar, open Stock Transfers and click Add Stock Transfer, or click Add on List Stock Transfers. You need the Stock Transfers module on and permission to add purchases.
- Fill in the header. Set the Date, leave Reference No empty to number it automatically, and choose a Status: Pending, In Transit or Completed.
- Choose the locations. Pick Location (From), where the stock is now, and Location (To), where it is going. The product search opens once the From location is set.
- Add the products. Type in Search Products to add each item, then enter the Quantity. If you track lots or expiry, pick the lot in Lot & Expiry; expired lots are marked (Expired). The Subtotal and Total Amount fill in from cost.
- Add charges and notes. Enter any Shipping Charges for moving the stock and add Additional Notes, then click Save.
- Update the status. On List Stock Transfers, click the status label of a Pending or In Transit transfer to open Update Status, choose Completed when the stock arrives, and click Update.
- Print or view. Use the row's View or Print action for a transfer sheet with both addresses, products, quantities and totals.
Statuses and editing
Pending and In Transit transfers can still be edited from the Edit action. Once a transfer is Completed it can't be edited, and its status label is no longer clickable, so check the quantities before you complete it. A transfer can be deleted within the number of days your business allows edits to transactions.
Shipping Charges on a transfer are counted as Total transfer shipping charge on the Profit / Loss Report.
Where transfers show up
Each product's stock history shows the transfer out of one location and into the other. On the Stock Report, Total Unit Transfered counts what moved, and Product Stock Details lists stock transferred to and from each location.
Frequently asked questions
Can I edit a stock transfer after it is completed?
No. A completed transfer is locked, and the screen warns that a transfer won't be editable once its status is completed. If something was wrong, record a new transfer back the other way, or a stock adjustment at the location that's off.
Why can't I search products on a new transfer?
Product search stays disabled until you pick Location (From). Choose the sending location first and the search box will list the products in stock there.
Do I need more than one location for transfers?
Yes. Transfers move stock between business locations, so you need at least two. Each extra location is billed at your plan price.
