Run and read the Lot Report

The Lot Report follows stock lot by lot. Go to Reports > Lot Report (/reports/lot-report) and filter by Business Location, Category, Sub category, Brand and Unit. Each row shows the product, SKU, Lot Number, EXP Date, Current stock, Total unit sold and Total Unit Adjusted, which helps with recalls and stock counts.

Steps

  1. Turn on lot numbers. The report appears when Enable Lot Number is on in Business Settings > Product and you have the stock report permission.
  2. Open the report. In the sidebar, open Reports and click Lot Report.
  3. Filter it. Choose a Business Location and narrow by Category, Sub category, Brand or Unit.
  4. Read each lot. Product, SKU, Lot Number, EXP Date, Current stock, Total unit sold and Total Unit Adjusted.
  5. Find a lot. Type the lot number in the table search box to find every location holding it.
  6. Export. Use the buttons above the table: CSV or Excel downloads the rows you can see, Print opens a print view, Columns hides or shows columns, and PDF saves the table (offered in most back-office languages).

Using lots for a recall

When a supplier recalls a batch, search the lot number here to see how much is left and how much was sold. Pull the remaining units with a stock adjustment. Lot numbers are typed on each purchase line, so the report is only as good as the lots you record when stock comes in.

Export and print

Every table on this report has the same toolbar: CSV, Excel, Print, Columns and, in most back-office languages, PDF. The exports take the columns that are visible, so hide anything you don't need with Columns first. The totals row at the bottom of the table is included in the export.

Frequently asked questions

Where do I enter lot numbers?

On the purchase. With Enable Lot Number turned on, each purchase line has a lot number field, along with MFG and EXP dates if expiry is on. Opening stock can carry lot numbers too.

Can I see which customers bought a lot?

The Lot Report shows units sold per lot, not the customers. The Product Sell Report's Detailed (With purchase) view lists each sale with the purchase reference and lot number it came from.
