Steps
- Open the report. In the sidebar, open Reports and click Purchase Payment Report.
- Filter. Choose a Supplier, a Business Location and a Date Range.
- Read each payment. Reference No, Paid on, Amount, Payment Method and Purchase (the purchase reference it was paid against).
- Open a payment. Use Action to view the payment details.
- Check the total. The Total row adds up the payments shown, which is what you paid out to suppliers in the period.
- Export. Use the buttons above the table: CSV or Excel downloads the rows you can see, Print opens a print view, Columns hides or shows columns, and PDF saves the table (offered in most back-office languages).
Paid versus owed
This report shows money that went out. To see what you still owe, use the Purchase Due figure on the Purchase & Sale Report or the Due column on the Supplier & Customer Report. Payments are dated by when they were paid, not by the purchase date.
Export and print
Every table on this report has the same toolbar: CSV, Excel, Print, Columns and, in most back-office languages, PDF. The exports take the columns that are visible, so hide anything you don't need with Columns first. The totals row at the bottom of the table is included in the export.
Frequently asked questions
Why is a supplier payment missing?
Check the date range uses the paid on date, not the purchase date, and that the location filter matches the purchase's location. Payments recorded as advance balance on the supplier's contact appear once they are applied to a purchase.
Can I filter by payment method?
This report filters by supplier, location and date. The Payment Method column shows how each payment was made, and you can sort by it or search the table for a method such as Cheque.
