Pay a supplier

Record what you pay suppliers so their balances stay right. To pay one bill, open Purchases › List Purchases, click Actions on the purchase and choose Add payment. To pay everything you owe a supplier at once, open Contacts › Suppliers and choose Actions › Pay. Enter the Amount, Paid on date, Payment Method and Payment Account, add a note and click Save. List Purchases then shows the Payment Status as Paid, Partial or Due.

Steps

  1. Find the purchase. Open Purchases › List Purchases. Filter by supplier or payment status to find bills that are Due or Partial.
  2. Open Add payment. Click Actions on the purchase and choose Add payment. The window shows the amount already paid and what's due.
  3. Enter the payment. Type the Amount, set Paid on, and choose the Payment Method, such as Bank Transfer or Cheque.
  4. Choose the account. If you use Payment Accounts, pick the Payment Account the money comes from.
  5. Save. Add a Payment Note or attach a remittance, then click Save. The purchase's Payment Status updates.
  6. Or pay the whole balance. In Contacts › Suppliers, click Actions › Pay. Enter the amount and details and save; it pays the opening balance and unpaid purchases oldest first.
  7. Review payments. Use View Payments on a purchase to see or edit what's recorded, or Reports › Purchase Payment Report for all payments.

Advance balances

If you've paid a supplier in advance, the payment form can use their advance balance, so prepaid money is applied to the bill instead of paying again.

Who can record payments

Roles need Add/Edit/Delete Payments under Purchase & Stock Adjustment to record supplier payments.

Frequently asked questions

Can I make a partial payment to a supplier?

Yes. Enter less than the due amount in Add payment. The purchase shows Partial, and the rest stays in Payment due until you add another payment.

How do I see what I owe all my suppliers?

Check Purchase due on the Dashboard, the Total Purchase Due column in Contacts › Suppliers, or the Contacts report. Each supplier's Ledger tab shows the detail line by line.
