Steps
- Return against a purchase. In Purchases › List Purchases, click Actions on the bill and choose Purchase Return.
- Enter return quantities. Each line shows the Purchase Quantity and Quantity Remaining. Type the Return Quantity for the items going back.
- Check the totals. Return Subtotal, Total Return Tax and Return Total calculate. Click Save.
- Or add a combined return. Open Purchases › List Purchase Return and click Add. Choose the Supplier, Business Location, Reference No and Date, and attach a document.
- Add the products. Search products, then enter Lot Number, EXP Date, quantity and unit price for each, plus Purchase Tax.
- Submit. Click Submit. The stock leaves that location.
- Settle the refund. When the supplier refunds you, record it so the purchase return due clears, for example with Receive Purchase Return Due on the supplier.
Debit notes
Each return works as a debit note against the bill it came from. The supplier's ledger shows it, and the Purchase & Sale Report subtracts purchase returns from your purchases.
Frequently asked questions
How do I return damaged stock to a supplier?
Open the original purchase in List Purchases and choose Actions › Purchase Return. Enter the Return Quantity for the damaged lines and save. Stock goes down at that location, and the return lowers what you owe the supplier.
Can I return more than I bought?
No. A return against a purchase is limited to the Quantity Remaining on each line. A combined return checks the stock available at the location and lot.
