Steps
- Open Sources. In the back office sidebar, click CRM, then Sources.
- Add your sources. Click Add and enter each source you want to track, with an optional description. Save each one.
- Open Life Stage. Click Life Stage in the CRM top bar.
- Add your life stages. Add each stage in the order leads move through them, for example New, Contacted, Qualified, Proposal.
- Check the Kanban board. Go to CRM › Leads and switch to Kanban Board. Each life stage is now a column.
- Edit or remove entries. Come back to either list to rename a source or stage, or delete one you no longer use.
Keep the lists short
Five to eight sources and four to six life stages are enough for most businesses. Too many options and staff pick inconsistently, which makes the dashboard counts less useful. Agree with your team what each stage means, so a Qualified lead means the same thing to everyone.
Good to know
Roles need the access sources or access life stage permissions to manage these lists. CRM is part of the Pro plan. The CRM item shows in the back office sidebar when your subscription includes it and your role has the CRM permissions.
Frequently asked questions
Where do sources show up?
You pick a source when adding a lead, filter leads by source, and the CRM dashboard counts leads by source so you can see which channels bring the most enquiries.
Can I reorder the Kanban columns?
The columns follow your life stages. Add them in the order you want them to appear, and edit the list in CRM › Life Stage if it needs changing.
What happens to leads if I delete a life stage?
Move those leads to another stage first. Then they keep a valid stage and still appear on the board.
