Bring WooCommerce orders into SeroPOS

Bring WooCommerce orders into SeroPOS as sales. Click Sync Orders on the WooCommerce dashboard, or set up webhooks so each order arrives as it's placed. SeroPOS creates the customer from the order's account or billing address. On WooCommerce › API Settings › Order Sync Settings, map each WooCommerce order status, from pending to refunded, to a POS sell status and a shipping status.

Steps

  1. Open Order Sync Settings. In the back office sidebar, click WooCommerce, then API Settings, and open Order Sync Settings.
  2. Map each status. For each Woocommerce order status (Pending, Processing, Completed, Cancelled, Refunded, Failed and On hold), choose the Equivalent POS sell status and the Equivalent shipping status. Save.
  3. Turn on webhooks. On Webhook Settings, copy the delivery URLs and secret into WooCommerce webhooks for order created, updated, deleted and restored.
  4. Sync orders by hand. On the WooCommerce dashboard, click Sync Orders to pull in any orders not yet received.
  5. Find the orders. Synced orders appear as sales in your sales list, with the customer created from the order.
  6. Check skipped orders. Open WooCommerce › Sync Log. An order is skipped if a product in it isn't found in SeroPOS or the customer is empty.

Why an order gets skipped

Every product in a WooCommerce order must exist in SeroPOS, which is why products should be synced from SeroPOS first. If someone adds a product directly in WooCommerce, orders containing it are skipped until the product exists in SeroPOS. Orders with no customer details are skipped too.

Good to know

You get a notification when all WooCommerce orders have synced. WooCommerce is part of the Pro plan. The WooCommerce item shows in the back office sidebar when your subscription includes it, and each sync action has its own permission.

Frequently asked questions

How do WooCommerce orders get into SeroPOS?

With webhooks, each order is sent as it's placed or changed. You can also click Sync Orders on the WooCommerce dashboard, and auto-sync pulls them on its schedule.

Does a WooCommerce order reduce stock in SeroPOS?

Synced orders become sales against the WooCommerce business location, so they follow that sale status. Map the WooCommerce statuses carefully, for example Processing to a final sale status.

Why was an order skipped?

Usually a product in the order wasn't found in SeroPOS, or the customer was empty. The Sync Log shows the order number and the reason.
