Steps
- Open the log. Sign in as an admin, open Reports in the sidebar and click Activity Log.
- Choose the user. Pick a user in By, or leave All.
- Choose the record type. Pick a Subject Type: Contact, User, Sell, Purchase, Sales Order, Purchase Order, Sell Return, Purchase Return, Stock Transfer, Stock Adjustment or Expense.
- Set the dates. Click Date Range and pick a preset (Today, Yesterday, Last 7 Days, Last 30 Days, This Month, Last Month, This month last year, This Year, Last Year, Current financial year, Last financial year) or Custom Range.
- Read each entry. Date, the record it relates to, Action (for example added, edited or deleted) and Note, with who did it.
- Export. Use the buttons above the table: CSV or Excel downloads the rows you can see, Print opens a print view, Columns hides or shows columns, and PDF saves the table (offered in most back-office languages).
Using it to answer who changed what
When a sale total changes or a contact goes missing, filter by Subject Type Sell or Contact and the date to see who edited or deleted it and when. The log only covers the record types in Subject Type; settings changes are not listed.
Because the log can show every user's actions, it is limited to admins. Other roles don't see it in the menu.
Export and print
Every table on this report has the same toolbar: CSV, Excel, Print, Columns and, in most back-office languages, PDF. The exports take the columns that are visible, so hide anything you don't need with Columns first. The totals row at the bottom of the table is included in the export.
Frequently asked questions
Who can see the Activity Log?
Only users with the admin role. It doesn't appear in the Reports menu for other roles, even with every report permission ticked.
Can staff delete entries from the Activity Log?
There is no delete action on the log screen. It is a read-only list of what was recorded.
