Steps
- Open settings. In the back office sidebar, click HMS, then Settings.
- Set the booking prefix. Enter a Booking prefix, such as BK-, for new booking numbers.
- Write the PDF footer. In Footer Text, add what should print at the bottom of every booking PDF: check-in times, cancellation policy or contact details.
- Write the email. Fill in the new-booking email's subject and body. Use the available tags to include booking details.
- Add copies. Enter CC or BCC addresses if the front desk or owner should get a copy.
- Turn on auto-send and save. Tick auto-send so the email goes out on every new booking, then save.
Good to know
Emails go out through your business email settings, so set those up first and send yourself a test booking.
Bookings are entered by your staff in the back office; there is no public online booking page for guests. Hotel (room booking) is an add-on module. The HMS item shows in the back office sidebar when your subscription includes it and your role has the hotel permissions.
Frequently asked questions
How do I email guests a booking confirmation automatically?
In HMS › Settings, write the new-booking email and tick auto-send. Each new booking then sends the email to the customer's address.
Where does the footer text appear?
At the bottom of the booking PDF printed from each booking. It's a good place for check-in times and your cancellation policy.
Why didn't the guest get the email?
Check that auto-send is ticked, the customer has an email address, and your business email settings are working.
