Send SeroPOS emails from your own mail server

By default SeroPOS sends invoices and notifications with the system's own email setup. To send from your own address, open Settings › Setting (/business/settings), click Email Settings, untick Use system email configurations, enter your mail server's Host, Port, Username, Password and Encryption, set the From Address and From Name, then click Send test email before you click Update Settings.

Steps

  1. Open the Business Settings page. In the back office sidebar, open Settings and click Setting. This is the Business Settings page at /business/settings, with its tabs down the left and a search box at the top.
  2. Click the Email Settings tab. Email Settings is the twelfth tab in the list on the left.
  3. Switch to your own mail server. Untick Use system email configurations so the server fields appear.
  4. Enter the server details. Choose the Mail Driver (SMTP for most providers), then enter the Host, Port, Username and Password your email provider gives you.
  5. Choose the encryption. Type tls or ssl in Encryption. Port 587 normally goes with tls and port 465 with ssl.
  6. Set the sender. Enter the From Address customers see, such as orders@yourstore.com, and a From Name such as your store's name.
  7. Send a test email. Click Send test email and check the inbox. If it fails, recheck the host, port, encryption and password.
  8. Click Update Settings. Click Update Settings at the bottom of the page. Every tab on this page saves together, so finish any other tab you changed before you click.

Before you start

Ask your email provider for its outgoing (SMTP) server settings. Many providers need an app password rather than your normal sign-in password, especially when two-step verification is on.

Use a From Address on the same domain as the mail account. Mail sent from one domain through another provider's server is more likely to land in spam.

What uses this setting

Emailed invoices and quotations, payment reminders, booking confirmations, ledgers and the daily sales report all go out through the email setup chosen here. The wording of each message is edited under Notification Templates.

Frequently asked questions

Why does the test email fail?

The usual causes are a wrong port and encryption pair, a password that needs to be an app password, or a host typed with a typo. Try port 587 with tls, then 465 with ssl. Some providers also block sign-in from new servers until you approve it in their security settings.

Do I have to use my own mail server?

No. Leave Use system email configurations ticked and SeroPOS sends emails for you. Your own server is useful when you want replies and sent copies to sit in your own mailbox, or customers to see your domain as the sender.
