Steps
- Open the ledger. In Contacts › Customers or Suppliers, click Actions › Ledger on the contact.
- Pick the period. Set the Date Range the statement should cover. The email sends the ledger for that range.
- Click the envelope. Click the envelope button at the top right of the ledger. The send window opens.
- Check the recipient. To holds the contact's email. Add more addresses separated by commas.
- Review subject and body. Email Subject and Email Body come from the Send Ledger template. Tags such as {contact_name} and {balance_due} are filled in when it sends.
- Send. Click Send. The ledger goes as a PDF attachment.
Set up the template once
Edit the wording under Notification Templates › Send Ledger. Available tags are {business_name}, {business_logo}, {contact_name} and {balance_due}. Write it once and every ledger email uses it.
Email needs to be set up
Emails go out through the system email settings, or your own mail server if you've set one in Settings › Setting › Email Settings. Use Send test email there first if messages don't arrive.
Frequently asked questions
How do I email a customer statement?
Open the customer's Ledger tab, choose the Date Range and click the envelope button. Check the To address and message, then click Send. The customer receives the ledger as a PDF with their balance due in the email.
Can I send a supplier their statement too?
Yes. Supplier contacts have the same Ledger tab and envelope button. The same Send Ledger template is used, so keep its wording general enough for both.
