Collect a customer's balance

When a customer pays off their account, record it once against everything they owe. In Contacts › Customers, click Actions › Pay on the customer. The Pay window shows Total Sale, Total Paid, Total Sale Due and any opening balance due. Enter the Amount, Paid on date, Payment Method and Payment Account, then click Save. The payment is spread over their unpaid invoices and opening balance, oldest first.

Steps

  1. Find the customer. Open Contacts › Customers and search for the customer. The Total Sale Due column shows what they owe.
  2. Open Pay. Click Actions on their row and choose Pay. The pay window opens with their totals.
  3. Enter the amount. Type the Amount received. It can be part of the balance, but not more than the total due shown under it.
  4. Set date and method. Set Paid on to the day you got the money and choose the Payment Method: Cash, Card, Cheque, Bank Transfer or a custom method.
  5. Pick the account. If you use Payment Accounts, choose the Payment Account the money goes into, such as your bank or cash account.
  6. Add a note and save. Attach Document for a remittance slip if you like, add a Payment Note, and click Save.
  7. Check the ledger. Open the customer's Ledger tab. The payment appears and Balance due drops by the amount.

How the payment is applied

SeroPOS pays off the opening balance and unpaid invoices oldest first until the amount runs out. Held sales and quotations aren't debts, so the payment never lands on them. To pay one specific invoice instead, use Add payment on that sale in Sell › All Sales or Receive Payment.
