Steps

  1. Open Customers. In the sidebar, open Contacts and click Customers. The list shows each customer's sale due, return due and credit limit.
  2. Add a customer. Click Add. Contact type is set to Customers; choose Both if this business also sells to you. Contact ID fills itself if you leave it blank.
  3. Enter name and contact details. Enter Prefix, First Name and Last Name, or a Business Name for a company. Add the Mobile number with its country code, plus Landline, Email and Date of birth if you collect them.
  4. Set group and terms. Pick a Customer Group for group pricing. Click More Informations to enter Tax number, Opening Balance, Pay term (days or months) and Credit Limit. Leave Credit Limit blank for no limit.
  5. Add addresses. Fill Address line 1 and 2, City, State, Country and Zip Code, then the Shipping Address for deliveries. Add custom fields if you've named them in Custom Labels.
  6. Save and open the customer. Click Save. In the list, open Actions › View to see the customer's tabs: Ledger, Sales, Documents & Note, Payments, Reward Points and Activities.
  7. Deactivate when needed. Use Actions › Deactivate for a customer you no longer serve. They leave the search boxes but keep their history.

Credit limit and pay term

Credit Limit stops a credit sale that would take the customer's balance over the limit; the sale screen shows Customer Credit Limit Exceeded. Pay term sets when an invoice is due, which drives the Sales Payment Due list on the Dashboard. A default credit limit for new customers is set in Settings › Setting › Contact.

CRM fields

With CRM (Pro plan), the customer form also has Source, Life Stage and Assigned to, so you can track where a customer came from and who looks after them.

Frequently asked questions

Can I delete a customer?

Only if they have no transactions. A customer with sales shows Cannot delete the contact - Transactions already exist for the contact. Use Deactivate instead, which hides them from search but keeps their sales and ledger.

Do customers added in the SeroPOS app show up here?

Yes. Customers added at the till sync to Contacts › Customers, and customers added here reach the till after it syncs. Both share the same customer record, ledger and reward points.

How do I give a customer wholesale prices?

Create a customer group linked to a Wholesale selling price group, then pick that Customer Group on the customer. Their sales use the group prices automatically.
