Works with commission agents

Use it for staff on the till or for outside sales agents set up under Sales Commission Agents.

Who sold what

The sales representative report answers a question every owner with more than one salesperson asks: who is actually bringing in the business. Choose a user, a location and a date range and the report shows that person's total sale, sales return, commission and expense figures for the period. Change the user to compare staff, or look at each person month by month.

It sits under Reports in the web back office, as Sales Representative Report. A user needs the sales representative report permission in their role to open it, and location access limits which stores' figures they see. A sales manager can be given the permission to review the team while individual reps are left without it, so each person's figures stay private to the people who need them.

How commission gets onto the report

Commission starts with two settings. Each user can have a Sales Commission % on their profile under User Management, and outside agents can be added under Sales Commission Agents with their own commission percentage. Then, in Business Settings on the Sale tab, the sales commission agent setting decides who a sale is credited to.

With the setting on Logged-in user, every sale is credited to whoever rang it up. Select from users or Select from commission agents adds a field on the sale so you can pick the person who should get the credit, which suits a rep who closed the deal while someone else processed the invoice.

  • Disable: no commission agent on sales
  • Logged-in user: the person signed in gets the credit
  • Select from users: pick any user on the sale
  • Select from commission agents: pick an outside agent on the sale

The three tabs

Below the totals, the report has three tabs. Sales Added lists the sales the user created. Sales With Commission lists the sales credited to them as the commission agent, which is the list to check before you pay commission. Expenses lists the expenses recorded against that user, for example supplies they bought or travel they claimed.

Looking at the tabs as well as the totals matters. A high sales figure with a long list of returns tells a different story from the same figure with none. If a commission dispute comes up, the Sales With Commission tab shows exactly which invoices were counted. That saves an argument.

Keeping reps to their own customers

If reps should only work their own accounts, roles can limit what they see. The Sell permissions include viewing only their own sales and a commission-agent own option. On a user's profile, Allow Selected Contacts restricts them to the customers and suppliers you choose. A user can also be given a maximum sales discount percentage, so a rep cannot discount their way to a bigger sales total.

Together these keep each rep's numbers clean, so the report reflects the work they did rather than sales they happened to touch. Set these limits when you add each rep under User Management, and review them whenever someone's role changes. A rep moving to a new territory may need a different list of selected contacts, and the report will follow the sales they make from then on.

Paying commission at month end

A simple routine: at month end, run the report for each rep for the month. Check the Sales With Commission tab against any deals you know about, look at returns, then take the commission figure to payroll. Keep a printed or exported copy with the payroll records for that period.

If you do not pay commission, the report is still useful as a sales-by-employee view for staff on the till, alongside the service staff report for restaurant servers. It shows who is ringing up the most and who has the most returns, which is useful when deciding who trains new staff.

Frequently asked questions

How do I track sales commission for each employee?

Set a Sales Commission % on each user under User Management, or add outside agents under Sales Commission Agents. Then choose how sales are credited in Business Settings, Sale tab. Run Reports, Sales Representative Report for the period to see each person's commission, with the Sales With Commission tab listing the invoices counted.

Can a sale be credited to someone other than the cashier?

Yes. In Business Settings on the Sale tab, set the sales commission agent option to Select from users or Select from commission agents. A field then appears on the sale for choosing who gets the credit. With Logged-in user, the person signed in always gets it.

Are returns taken off a rep's sales?

The report shows sales return next to total sale for each user, so you can see both figures for the period. Check the totals and the Sales Added tab together before deciding what commission to pay on returned sales. Agree the rule with your reps in advance.

Why do expenses appear on the sales rep report?

When you add an expense you can choose who it was for. Expenses recorded for a user show on their line and in the Expenses tab. This is useful for reps who spend money on the business's behalf, so you can see sales and costs for the same person.

Can reps see each other's numbers?

Only if their role allows it. Viewing the report needs its own permission, which you can leave off rep roles. Sell permissions can restrict a user to their own sales, and Allow Selected Contacts limits them to chosen customers. Owners and admins see everyone.
