Staff accounts for every person on the till

Give every person who uses the till their own login, so each sale, refund and drawer opening is tied to a name. Each user gets a role, the locations they can work at, a maximum discount and, if you pay one, a commission rate.

What you get

Users in SeroPOS

A login per person

Each user has a username and password, so every sale and action in SeroPOS is tied to the right person.

Role on every user

Pick a role that decides what the person can do at the till and in the back office.

Location access

Allow a user at all locations or only the ones you choose.

Discount and commission

Set a maximum sales discount percentage and a sales commission percentage per user.

Hand-over card

After adding a user in the app, a card shows their login details with a Copy button.

Active or not

Turn off a user who has left, or stop them logging in, without losing their sales history.

Adding staff in the app

In the SeroPOS app, open Admin, then Settings, then Users and Roles. Add a user with first and last name, a login username, email, a mobile number and a note. Choose their role and the locations they can use, and leave them active. The login username takes the form of a name and your business handle.

When you save, a hand-over card shows the new user's login details with a Copy button, so you can pass them on straight away. You can reset a user's password later from the same screen if they forget it. Give each person their own login from the first day, so their sales and actions are always recorded under their name.

More options in the back office

The back office has the same users under User Management, with a few more settings. Is active and Allow login control whether the person can sign in at all. Location access can be set to all locations or a selected list. Sales Commission percentage and Max sales discount percentage sit on the same record.

Allow Selected Contacts limits the user to the customers and suppliers you choose, which suits sales reps who handle their own accounts. User custom fields hold anything else you track, such as an employee number or start date. Most small businesses only need a few of these settings. Use the ones that help.

Users on your plan

The Standard plan includes 3 users and the Pro plan includes 5. If you need more, add 3 more users for $10 a month. When you reach your limit in the app, adding another user offers the option to buy more. Plan your user count around the people who use the till.

When someone leaves, turn their user off or stop them logging in. Their past sales, refunds and register sessions stay in your reports under their name, so end-of-year figures and old receipts still show who served the customer. If you run more than one location, extra locations are added at the plan price, and each user's location access decides where they can work.

Why separate logins matter

When everyone shares one login, there is no way to know who gave a discount, voided a sale or left the drawer short. Separate logins put a name on every action. The register report shows each user's cash sessions, the sales representative report shows each user's sales, and the activity log records changes by user.

It also makes permissions possible. A new hire can be given a role that takes payments but cannot refund, while a supervisor can approve refunds. When someone needs a one-off exception, a manager's password approves it once. Keep exceptions rare and roles tidy. That balance keeps service quick and your money safe.

Frequently asked questions

How many users can I have?

Standard includes 3 users and Pro includes 5. Add 3 more users for $10 a month on either plan. A user who has left can be turned off, and their history stays in your reports. Extra locations are added at the plan price.

How do I add a staff member?

In the app, open Admin, then Settings, then Users and Roles, and add a user with their name, username, role and locations. Or add them in the back office under User Management. A hand-over card in the app shows their login details to copy.

Can I limit a user to one store?

Yes. Set the user's location access to selected locations and choose the store. They can then only work with that location's sales and stock. Managers can be given every location. Area managers who cover several stores can be given every location, or just the ones they look after.

Can I stop a user giving big discounts?

Set a maximum sales discount percentage on the user record in the back office. The user cannot apply a discount above that figure. Roles can also turn discount editing off entirely. Roles decide everything else they can do at the till, including whether they can edit prices or refund a sale.

What happens to a user's sales when they leave?

Turn the user off or remove their ability to log in. Their sales, refunds and register sessions stay in reports under their name, so your history is complete. That keeps your records complete and your reports accurate. Nothing has to be deleted when someone leaves.
