Manager approval for locked actions
Staff see every button they might need, but the sensitive ones are locked. When a cashier hits a locked action, a manager types a password once and the action goes ahead.
Manager approval in SeroPOS
Locks you can see
Actions a role cannot use stay on screen with a lock badge, so staff know to call a manager.
One-off approval
Tapping a locked action opens Approval Required, where any Admin or Manager password approves it once.
Locked by default
New roles start with nothing granted; only the owner has every permission until you tick more.
POS Access groups
Permissions are grouped into sales, checkout buttons, payment types, admin sections and device setup.
Admin hub access
Staff without admin rights can open the Admin hub with a manager's login when needed.
Mode exits protected
Leaving Kiosk Mode or KDS Mode needs Admin or Manager credentials.
Control without slowing the line
Every store needs some actions kept to trusted people: refunds, voids, price changes, discounts and the settings that run the till. Hiding those buttons from staff causes its own problems, because nobody can find the feature when a manager is standing right there. SeroPOS keeps locked actions visible with a lock badge, and lets a manager approve them on the spot.
When a cashier taps a locked action, an Approval Required window opens. A manager enters their Admin or Manager password, and the action goes ahead once. The cashier's own permissions do not change, so the next refund needs approval again. There is no need to log the cashier out, log the manager in and back out again.
Deciding what each role can do
Permissions are set on roles in the Admin hub under Users & Roles. Each role has a POS Access tab and a Web Access tab. New roles start locked: until you grant something, only the owner has everything. Tick individual permissions or whole groups, and copy an existing role to start from a similar one.
On the back office user record you can also set a maximum sales discount percentage for each user, which caps how far that person can discount on their own. Users can also be limited to particular locations, which keeps each store's staff working only in their own store. Between the role and the user record, you can match access closely to each person's job.
- Sales & Transactions: refunds, edit sale, price changes
- Checkout Buttons: Clear, Adjust, Hold, Delivery, Split, Print Bill
- Payment Types: Cash, Debit, Credit, Other
- Admin Sections: which Admin hub tiles a role can open
- Device & Setup: settings and hardware on the till
Where approval appears
Approval works anywhere a permission is checked. In the side drawer, rows a role cannot use show a lock badge and open Approval Required when tapped. In the cart, a price override or discount by a role without that right asks for approval. In Recent Transactions, voids, refunds and sale edits follow the refund and edit sale permissions.
Some screens use a stronger check. The Admin hub opens directly for roles with admin permissions; anyone else sees an Admin Access login and needs an Admin or Manager username and password. Turning on Kiosk Mode or KDS Mode, leaving them, and opening the Floor Plan Designer also ask for a manager login.
Good habits for approvals
Give each manager their own user and password rather than sharing one admin login, so the back office shows who did what. Keep the owner account for the owner. Start new roles with the least they need, as the in-app help suggests, and add permissions when a real need comes up rather than ticking everything on day one.
Review roles when staff change. A cashier promoted to shift lead can move to a shift manager role with more permissions, and a departing manager's user should be deactivated so their password no longer approves anything. The back office activity log helps you look back at changes when something does not add up.
Frequently asked questions
How does manager override work in SeroPOS?
When a staff member taps an action their role does not allow, SeroPOS opens Approval Required. Any user with an Admin or Manager password can type it in to approve that action once. The staff member's permissions stay the same, so the next locked action needs approval again.
Which actions can I lock behind manager approval?
Anything controlled by a role permission: refunds, voids, editing a completed sale, price changes, discounts, checkout buttons such as Clear or Split, payment types, Admin hub sections and device settings. Set them per role in Admin under Users & Roles, on the POS Access tab.
Do new staff get full access by default?
No. Roles in SeroPOS start locked, and only the owner has every permission until you grant more. Create a role for each job, such as Cashier or Shift Manager, tick what that job needs and assign it to the right users.
Can I limit how much discount a cashier can give?
Yes. On the user record in the web back office, set a maximum sales discount percentage. You can also remove discount permission from the role entirely, in which case a manager approves each discount with their password at the till.
Can a cashier open the Admin hub with a manager's help?
Yes. If a cashier's role has no admin permissions, tapping Admin in the side drawer shows an Admin Access login. A manager enters their Admin or Manager username and password and the hub opens for that visit. Plan-locked tiles still show the upgrade sheet instead.
