Steps
- Open the Business Settings page. In the back office sidebar, open Settings and click Setting. This is the Business Settings page at /business/settings, with its tabs down the left and a search box at the top.
- Click the Purchases tab. Purchases is the eighth tab in the list on the left.
- Allow purchases in another currency. Tick Purchases in other currency if you buy from suppliers who bill in a different currency. Pick the Purchase Currency and enter the Currency Exchange Rate, meaning how much one unit of that currency is worth in your business currency.
- Let purchases update prices. Tick Enable editing product price from purchase screen. When a purchase is added or updated, the product's purchase price and selling price update to match.
- Turn on purchase status. Tick Enable Purchase Status to mark purchases as ordered, pending or received. With it off, every purchase is marked as Item Received.
- Turn on lot numbers. Tick Enable Lot number to enter a lot number on each purchase line, useful for food, pharmacy and other batch-tracked stock.
- Click Update Settings. Click Update Settings at the bottom of the page. Every tab on this page saves together, so finish any other tab you changed before you click.
Which options to use
Purchase status matters when stock is ordered well before it arrives. Only received purchases add to stock, so the counts stay honest while an order is in transit.
Lot numbers pair well with product expiry from the Product tab, so you can trace a batch from the supplier invoice to the sale, and see them in the lot report.
Frequently asked questions
How do I buy from a US supplier when my business is in CAD?
Tick Purchases in other currency on the Purchases tab, choose USD as the Purchase Currency and enter the exchange rate, for example 1.37. Purchases can then be entered in USD and are converted to your business currency for stock value and reports.
Why don't purchases add to my stock?
If Enable Purchase Status is on, stock only increases when the purchase is marked Received. Edit the purchase and change its status. With purchase status off, every purchase is treated as received the moment you save it.
