Run and read the Supplier & Customer Report

The Supplier & Customer Report shows each contact's account in one row. Go to Reports > Supplier & Customer Report (/reports/customer-supplier) and filter by Customer Group Name and Type. Each row lists the contact's total purchase, purchase return, sale, sell return, opening balance due and the due amount, where a positive value is money to receive and a negative value is money to pay.

Steps

  1. Open the report. In the sidebar, open Reports and click Supplier & Customer Report. You need the contacts report permission.
  2. Choose the type. Use Type to show Customers or Suppliers, or leave it on all contacts.
  3. Filter by group. Pick a group in Customer Group Name to see only, say, wholesale customers.
  4. Read each row. Total Purchase and Total Purchase Return are what you bought from the contact; Total Sale and Total Sell Return are what you sold them; Opening Balance Due is the balance carried in when the contact was added.
  5. Read the Due column. Due is the net amount outstanding. A positive value is an amount to receive from the contact; a negative value is an amount you owe them.
  6. Export the list. Use the buttons above the table: CSV or Excel downloads the rows you can see, Print opens a print view, Columns hides or shows columns, and PDF saves the table (offered in most back-office languages).

Following up on balances

Sort by Due to find the customers who owe the most. To collect, open Sell > Receive Payment or the customer's ledger under Contacts. To pay a supplier, record the payment on their purchases.

A contact who both buys from you and supplies you shows figures on both sides, and Due nets them off.

Export and print

Every table on this report has the same toolbar: CSV, Excel, Print, Columns and, in most back-office languages, PDF. The exports take the columns that are visible, so hide anything you don't need with Columns first. The totals row at the bottom of the table is included in the export.

Frequently asked questions

What does a negative due mean?

A negative due means you owe that contact money, which is usual for a supplier with unpaid purchases. A positive due means the contact owes you, usually a customer with unpaid invoices. The report prints the same reminder under the table.

Does this report have a date filter?

No. It shows each contact's running totals and current due. For a single period, use the customer's ledger under Contacts, or the Sell Payment and Purchase Payment reports.
