Deactivate or delete products

Deactivate a product you no longer sell, and delete only products that were never used. In Products › List Products, tick the products and click Deactivate Selected: they disappear from purchases and sales but keep their history, and you can reactivate them later. Delete Selected removes products for good, but only those with no purchases, sales or stock adjustments.

Steps

  1. Find the products. Open Products › List Products and filter or search for the products to remove.
  2. Tick them. Tick the box at the start of each row.
  3. Deactivate. Click Deactivate Selected and confirm. Deactivated products will not be available for purchase or sell.
  4. Or delete. Click Delete Selected and confirm. Products with transactions are skipped and you see a message saying some couldn't be deleted.
  5. Reactivate later. To bring one back, filter the list by Inactive, open Actions on the product and choose Reactivate.

Which to use

Deactivate is the safe choice. Sales, purchases and reports keep the product's name and figures. Delete is for mistakes and test products.

  • Can't delete: purchases exist for the product
  • Can't delete: some stock has been sold
  • Can't delete: stock has been adjusted

Not for selling

If you still buy and stock the item but don't sell it, such as an ingredient, tick Not for selling on the product instead. It stays in purchases and stock but leaves the sales screen.

Frequently asked questions

How do I hide a product from the POS without deleting it?

Deactivate it, or tick Not for selling on the product. Deactivated products leave both purchases and sales. Not for selling keeps it in purchases and stock but hides it from the sales screen. Sync the till afterwards.

Why won't SeroPOS let me delete a product?

Products with purchases, sold stock or stock adjustments can't be deleted, because reports and ledgers depend on them. Deactivate the product instead; it disappears from use but your history stays intact.
