POS for growing teams

With two people behind the counter, trust is easy. With twelve across two shifts, you need to know who did what, and you need refunds and discounts to wait for someone senior. SeroPOS gives each person a login and a role, puts sensitive actions behind a manager's approval and reports sales by staff member.

What you get

Growing teams in SeroPOS

A login for everyone

Each person has their own username and password, with a hand-over card that shows their login details.

Roles you design

Choose what each role can do at the till and in the back office, or copy an existing role.

Manager approval

A locked action shows Approval Required, and an admin or manager password approves it once.

Discount limits

Set a maximum discount percentage on each user.

Sales by staff member

Reports show sales, returns and commission by user, and orders by server.

Location access

Limit each user to the locations they work at.

One login per person

Add staff in Admin on the till or under User Management in the back office. Each user has a name, a login username, an email, a mobile number, a role and the locations they can work at. A hand-over card shows the new person's login details with a Copy button, and you can reset a password when someone forgets. Inactive users can be switched off without deleting their history.

Standard includes three users and Pro includes five. When you need more, packs of three users are $10 a month. Every sale, refund and register session is recorded against the person who did it, which is what makes the reports and the audit trail meaningful. Give a new cashier an existing role and they are ready to sell in a minute, with the same limits as everyone else in that job.

Roles that match the job

A role is a set of permissions. On the till, POS Access groups them into Sales and Transactions, Checkout Buttons such as Clear, Adjust, Hold, Delivery, Split and Print Bill, Payment Types, Admin Sections and Device and Setup. Web Access covers the back office, from products and purchases to reports and settings. Copy an existing role to start a new one quickly.

New roles start locked: only the owner has everything until you grant it. Mark a role as service staff to make its users waiters who can be picked for an order. Roles can also limit people to their own sales, own customers or chosen contacts, and each user can have a maximum discount percentage and a sales commission percentage.

  • POS Access and Web Access tabs
  • Checkout buttons by role
  • Service staff roles for waiters
  • Own sales only, or chosen contacts

Approval when it matters

When someone tries an action their role doesn't allow, such as a refund, a void, a price change or a big discount, the till doesn't just refuse. It shows Approval Required, and any admin or manager can type their password to approve that one action. The cashier carries on, the manager doesn't have to log in, and the approval doesn't stay switched on.

Drawer rows that a role can't use still show with a lock badge, so staff know the feature exists and who to ask. Admin on the till opens directly for admins and asks others for an admin or manager login. Kiosk and kitchen display modes need manager credentials to exit.

Seeing who sold what

The Sales Representative Report shows each user's total sales, sales returns, commission and expenses for a date range. The Service Staff Report shows orders and line orders per waiter, and the Register Report shows each cash session with the user, times, cash, card slips and the closing note. Recent Transactions on the till filters by status and payment type.

In the back office, the Activity Log records actions by user and date, and two-step verification protects logins with an authenticator app, a text-message code or a passkey. The company rule Require two-step verification for everyone makes it compulsory for every user. The Security screen lists where each person is signed in, with sign out per device, which helps when someone leaves with a phone still logged in.

Frequently asked questions

How do POS user permissions work in SeroPOS?

Each staff member has a login and a role. The role decides what they can do on the till and in the back office, grouped into POS Access and Web Access. New roles start with nothing granted, so you add only the permissions each job needs.

Can a manager approve a refund without logging in?

Yes. When a user tries a locked action such as a refund, the till shows Approval Required. Any admin or manager types their password to approve that one action, and the cashier carries on. The approval doesn't change the user's role.

Can I limit how much discount staff give?

Yes. Each user has a maximum sales discount percentage, and discounts can also be locked by role so they need manager approval. Automatic discount rules apply without anyone choosing them, so promotions don't depend on staff discretion. The Activity Log shows who changed prices in the back office.

Can I see sales by staff member?

Yes. The Sales Representative Report shows each user's sales, returns and commission, and the Service Staff Report shows orders per waiter. The Register Report lists each cash session by user, and the Activity Log records back-office changes by user and date.

How many users are included?

Standard includes three users and Pro includes five, each for one location. Extra users come in packs of three for $10 a month. Standard is $30 a month and Pro is $50, both with a 14-day free trial and no card needed to start.
