Sales payment report
The sales payment report is the list of money that actually came in from customers, one payment per row. Filter it by customer, location, customer group or payment method to see how people paid and who still pays on account.
Sales payment report in SeroPOS
One row per payment
Each payment received against a sale shows on its own line, so a bill paid half by card and half in cash appears as two payments.
Filter by payment method
Pick cash, card, cheque, bank transfer or one of your own custom payment labels to see what came in through that method alone.
Filter by customer
Choose one customer to see every payment they made in the period, which helps when a house account asks what they have already paid.
Filter by customer group
Narrow the list to a customer group, such as wholesale or staff, to see how that group pays.
Any location, any dates
Run it for one location or all of them, over a single day or a whole quarter.
Print or export
The table prints or exports like the other back-office reports, ready for your bookkeeper.
Sales are not the same as payments
A sales report tells you what was sold. The sales payment report tells you what was collected, and the two drift apart as soon as you sell on credit, take deposits or let regulars run a tab. An invoice raised on the 28th and paid on the 5th belongs to one month in sales and to the next month in payments. If you are trying to match the bank, payments are the number you want.
The report sits in the web back office under Reports, as Sell Payment Report. It lists payments from customers for the date range and location you choose, with each payment shown on its own row. Partial payments show as separate rows, so you can see a customer paying a large invoice down in instalments.
See how customers pay
The payment method filter answers the card versus cash question directly. Choose card and you get every card payment for the period; choose cash and you get the cash that should have reached the drawer or the bank. If you have set up custom payment method labels in Business Settings, such as e-transfer or a delivery app payout, those labels appear as methods too.
This is useful when you are deciding whether to push customers toward one tender, reviewing what you pay in card fees, or checking that a new payment option is actually being used. Run the same filter month after month and you have a simple trend without building a spreadsheet. It also shows quickly if a payment method is barely used.
- Customer: one customer's payments
- Location: one store or all of them
- Payment method: cash, card, cheque, bank transfer, custom labels
- Customer group: wholesale, staff, VIP or any group you made
- Date range: any start and end date
Where the payments come from
Payments reach this report from every place SeroPOS takes money. That includes sales rung up on the SeroPOS till app, payment rows added on Create Invoice in the back office, and payments recorded later through Receive Payment or the Pay due button on a customer's profile. A sale split across several tenders on the till shows each tender as its own payment.
Because every payment is recorded against a sale, the report is a good place to answer a customer who says they paid already. Filter by their name, look at the dates and amounts, and you have their payment history for the period in front of you without searching invoice by invoice.
Using it alongside other reports
The register report covers the same money from the drawer's point of view, one cash register session at a time, with the counted cash, card slips and cheques. The sales payment report is better for longer periods and for customer-level questions. If the two disagree for a shift, the payment rows show you which sales to look at.
For the supplier side of the same picture, the purchase payment report lists what you paid out. Payments can also be linked to a payment account, such as a bank or a cash box, and the payment account report shows where each one landed. Between the three, you can follow a payment from the customer to the account it ended up in.
Who can see it
Access follows roles and permissions. A user needs report access in their role to open it, and location access limits which stores' payments they can see. A manager given one location sees only that location's payments, while the owner can run it across every location on the account. Give each person their own login so this works as intended.
The report is part of the standard back-office reports and works on any plan. It reads the same sales your tills already send to the back office, so there is nothing to switch on before you use it. If a new location opens, its payments appear here as soon as its tills start selling, using the same filters as every other location.
Frequently asked questions
How do I see card sales versus cash sales?
Open Reports, then Sell Payment Report in the web back office. Set the date range and location, then use the payment method filter. Choose card to list card payments only, then switch to cash. Each list shows the payments received through that method in the period, so you can compare the two totals.
Does a split payment show up once or twice?
Each tender is recorded as its own payment. A bill paid partly by card and partly in cash appears as two payment rows, one under card and one under cash. Both belong to the same sale, so filtering by payment method still gives you an accurate total per method.
Can I see what one customer has paid this year?
Yes. Choose the customer in the customer filter and set the date range to the year. The report lists every payment they made, including partial payments against larger invoices. For a running balance with what they still owe, the customer's Ledger tab on their profile is the better view.
Why doesn't the payment report match my sales report?
Sales and payments are counted on different dates. A credit sale counts as a sale when it is made but appears in the payment report only when the customer pays. Deposits and payments on old invoices also land in the period they were received. Over a long enough period the two come closer together.
Do custom payment methods appear in the report?
Yes. Business Settings has Custom Labels where you can name up to seven custom payment methods. Payments taken with those methods are recorded under their labels, and you can filter the report by them just like cash or card. Payments taken with those methods are recorded under their labels in the report.
