A price for every kind of customer

Selling price groups are named price lists: Wholesale, Distributor, Food Service, Retail. Each product can have a price in every group. Export a group's prices to a spreadsheet, update them when your costs change, and import them back; blank cells are skipped, so you only touch what changed. A group can also be the default for a location, such as a trade counter.

Customer groups decide which prices an account gets. Point a group at a selling price group, or at a percentage up or down on the selling price, and add each customer to the right group. When that customer is on an invoice, their prices fill in. Discount rules can apply within specific price groups or customer groups, so promotions don't undercut your contract pricing.

Invoices on terms, and getting paid

Create Invoice is the main sales screen in the back office. Choose the customer, and their pay term, price group and addresses come with them. Add lines by search or barcode, with quantity, unit price, discount and tax, plus shipping charges and notes. Save it as a final invoice, a draft, a quotation or a pro-forma, and print it, download the PDF or send the link.

Each customer has a credit limit and a pay term in days or months. The dashboard lists invoices due within seven days, and Receive Payment shows every open invoice with its age, total, paid and balance, recording full or partial payments. The customer ledger can be emailed as a statement, and with the Accounting add-on, the receivables ageing report shows who is late.

Buying from suppliers at home and abroad

Purchases record supplier deliveries with a reference, date, location, pay term and documents. Turn on purchases in other currency and you can enter a supplier's bill in US dollars or euros with an exchange rate, while stock is costed in your own currency. Each line holds the unit cost before and after discount and tax, the margin and a selling price you can update on the spot.

Lot numbers and expiry dates can be recorded per line, and additional shipping charges are added to the purchase. Purchase returns go back against the original purchase or as a combined return. Supplier payments are recorded against each bill, and the Purchase Payment Report and the supplier's ledger show what you owe.

Warehouses, transfers and shipping

Each warehouse or branch can be a location with its own stock, invoice layout and invoice numbering. Racks, rows and positions per location tell pickers where a product lives. Stock transfers move goods between locations with a status, shipping charges and a print-out, and the Stock Report values stock by location at cost and selling price.

Invoices carry shipping details, a shipping status, who it was delivered to and attached documents, and the Shipments screen filters orders by status. A packing list PDF goes with each order. For mixed tax situations, the Tax Setup screen supports destination-based tax by product category, including zero-rated exports. One-click Canadian and US state rates fill in the matrix to start from.

Frequently asked questions

Can SeroPOS give different customers different prices?

Yes. Selling price groups hold a separate price for each product, and customer groups link accounts to a price group or a percentage adjustment. When a customer in the group is on an invoice, their prices apply. Group prices can be exported and re-imported through a spreadsheet.

Can I issue invoices with net 30 terms?

Yes. Set a pay term on the customer, such as 30 days, and it fills in on their invoices. The dashboard lists payments due soon, Receive Payment records full or partial payments against open invoices, and the Accounting add-on's receivables ageing report shows overdue accounts.

Can I buy from suppliers in another currency?

Yes. Turn on purchases in other currency, then enter the supplier's bill in their currency with an exchange rate. Stock and costs are recorded in your business currency. Supplier payments and returns are tracked against each purchase, and the supplier's ledger shows the running balance.

Is SeroPOS a full wholesale distribution system?

It covers price groups, customer groups, invoices on terms, credit limits, quotations, purchases in other currencies, multi-location stock, transfers and shipping status. It does not include route planning, a driver app or a separate warehouse picking app, so larger distributors should check those needs first.

Can I send customers a statement?

Yes. Each customer's ledger lists invoices, payments and the running balance for a date range, and can be emailed from their contact page using the Send Ledger template. The Supplier & Customer report shows totals and amounts due across all accounts.
