Receivables and payables ageing

Knowing customers owe you money is one thing. Knowing how long they have owed it is what tells you whom to call first. The ageing reports in the Accounting module group receivables and payables by age, as a summary or line by line.

Receivables payables ageing in SeroPOS

AR ageing summary

What each customer owes you, grouped by how long it has been outstanding.

AR ageing details

The individual invoices behind each customer's balance, so you can see exactly which ones are late.

AP ageing summary

AP ageing details

The individual bills behind each supplier balance, line by line.

In the Accounting reports hub

All four sit with the trial balance, balance sheet and cash flow statement under Accounting, then Reports.

Built from your POS records

Credit sales and unpaid purchases already in SeroPOS are what the reports age.

Who owes what, and for how long

An open balance that is a week old and one that is four months old are very different problems. The first is normal trade credit. The second may never be paid unless someone picks up the phone. Ageing reports sort what is outstanding by how long it has been open, so the oldest balances are in front of you.

SeroPOS has four ageing reports in the Accounting add-on module: Accounts Receivable ageing summary, AR ageing details, Accounts Payable ageing summary and AP ageing details. They are under Accounting, then Reports, in the web back office, for users whose role includes permission to view accounting reports. Run them weekly, before you plan calls.

Summary or detail

Each side comes in two forms. The summary gives one line per customer or supplier with their balance split by age, which is the right view for a weekly look at who is falling behind. The detail report lists the individual invoices or bills behind those balances, which is what you need when you call a customer and they ask which invoice you mean.

A sensible routine is to start with the AR summary, pick the customers with the oldest balances, then open AR ageing details to see the invoices before you call. Do the same with the AP reports when planning supplier payments for the week. Keeping to a weekly rhythm stops old balances building up unnoticed.

Collecting what is overdue

Once you know who is late, the rest of SeroPOS helps you act. Each customer can have a pay term in months or days and a credit limit on their profile. Receive Payment in the back office lists a customer's open invoices with their age, total, paid amount and balance, and records full or partial payments. A customer's Ledger tab shows their full history and can be sent to them by email.

Notification templates include a Payment Reminder for customers, which you can send with your own wording. The dashboard's Sales Payment Due table also lists sales due within the next seven days, based on pay terms. Use the ageing reports to decide whom to contact, then these tools to follow up and record the payment when it arrives.

Keeping suppliers on side

The payables side matters just as much. The AP reports show which supplier bills are oldest, so you can pay those first and avoid strained relationships or lost terms. Supplier payments are recorded against their purchases in the back office, and the purchase payment report lists what has been paid.

When the ageing reports are part of month end, include them in what you send your accountant. The Accounting module's working papers pack exports the main statements and related reports in one Excel file, and an accountant share link lets them download it without signing in. It is an easy way to share month-end figures.

Part of the Accounting add-on

The ageing reports come with the Accounting module, an add-on that adds double-entry books to SeroPOS: a chart of accounts, journal entries, transfers, budgets and mapping of POS payments to ledger accounts. Its reports hub also has a trial balance, ledger report, balance sheet and statement of cash flows. It is sold separately.

Without the Accounting module, you can still see what individual customers and suppliers owe from the customer and supplier report and from each contact's ledger, but not grouped by age. If you are chasing more than a handful of overdue accounts each month, the ageing reports save a good deal of time compared with reading each ledger in turn.

Frequently asked questions

Does SeroPOS have an accounts receivable ageing report?

Yes, in the Accounting add-on module. Under Accounting, then Reports, there is an Accounts Receivable ageing summary and an AR ageing details report. The summary gives each customer's balance by age, and the detail lists the invoices behind it. Both are in the Accounting add-on.

Is there an accounts payable ageing report as well?

Yes. The Accounting module includes an Accounts Payable ageing summary and AP ageing details. They show what you owe each supplier grouped by age, which helps you decide which bills to pay first and keep good terms with suppliers. Both are in the Accounting add-on.

What is the difference between the summary and detail reports?

The summary shows one line per customer or supplier with their balance split by age. The detail report lists each open invoice or bill behind those balances. Use the summary to decide whom to chase and the detail when you need invoice numbers.

Can I see what customers owe without the Accounting module?

Yes, though not grouped by age. The customer and supplier report shows each contact's total due, Receive Payment lists a customer's open invoices with their age, and the customer's Ledger tab shows their full history. The ageing reports themselves need the Accounting add-on.

How do I chase an overdue invoice?

Find the customer in AR ageing details, then open their profile. You can send their ledger by email or send a Payment Reminder from your notification templates. When they pay, record it through Receive Payment or the Pay due button, so the open balance comes down.
