Customer supplier report in SeroPOS

Every contact, one row

Each customer or supplier gets a row with their purchase, sale and return totals.

Balance due both ways

The due column shows money to receive from a customer or to pay a supplier.

Opening balances included

Balances carried over from before you started on SeroPOS are shown as opening balance due.

Filter by group or type

Narrow the list to customers or suppliers, or to one customer group such as wholesale.

Straight to the ledger

Each contact's own page has a ledger with a date range that you can send by email.

Collect on the spot

Pay due on a customer's page records a payment against their open invoices.

What each row shows

Open Reports, then Supplier & Customer Report. Each contact appears once, with totals that cover both directions of trade. That matters for businesses that buy from and sell to the same company, such as a bakery that supplies a café and buys coffee from it. Filter by type to show only customers or only suppliers.

The due column brings it together. A positive figure is money you are owed and a negative figure is money you owe, so the list can be sorted to see your largest balances either way. Each row also shows the opening balance due, so amounts carried over from before you started on SeroPOS are part of the figure rather than tracked somewhere else.

  • Total purchase and purchase return
  • Total sale and sell return
  • Opening balance due
  • Due: amount to receive, or amount to pay

Chasing customer balances

Customers who buy on account build up a balance through credit sales and invoices with pay terms. Filter the report to customers, or to a customer group such as wholesale accounts, and you have a list of who owes what. Each customer's record also holds their pay term and credit limit, set when the contact was added.

From there, open the customer to see their Ledger, Sales and Payments tabs. The ledger takes a date range and can be emailed to the customer as a statement with Send ledger. When they pay, use Pay due on their page, or Receive Payment from the Sell menu, to record it against their open invoices.

Keeping track of what you owe suppliers

Filter the report to suppliers to see what you've bought from each, what you've returned and the balance still unpaid. A large purchase total with a small due amount means you're up to date. A growing due amount is a reminder to schedule payments before the supplier calls. The same list helps at month end, when you decide which bills to pay first.

Each supplier's page has a Ledger, Purchases, Payments and a supplier stock report, which shows what you're holding from that supplier. Payments made to suppliers are recorded against the purchase and listed in the purchase payment report. That means the payment, the purchase it settled and the supplier's balance on this report all tell the same story.

Getting balances right from day one

When you move to SeroPOS, enter each contact's existing balance as their opening balance. You can do this when adding a contact, or in bulk through Import Contacts with a spreadsheet. The report then shows those balances as opening balance due until they are paid. Each contact can also be given a pay term and a credit limit at the same time.

Staff access is controlled too. A role can allow a user to view all contacts or only their own, and a user can be limited to selected contacts. That keeps balances for key accounts visible to the people who manage them. Those settings live under User Management, in Roles and on each user's record.

Frequently asked questions

How do I see which customers owe me money?

Open the Supplier & Customer Report, filter by type to show customers, and look at the due column. It shows each customer's balance from unpaid sales and opening balances, less returns. Sort by due to put the largest balances at the top, then open a customer to see their ledger.

Can I send a customer a statement?

Yes. Open the customer, go to their Ledger tab, set a date range and use Send ledger to email it. The email uses the Send Ledger notification template, which you can edit under Notification Templates. The customer receives the ledger for the dates you chose, which works as a statement of account.

Is this an accounts receivable report?

It covers the same ground for a POS business: what each customer owes you, and the same for suppliers on the payable side. For balances split by how old they are, the Accounting add-on module adds receivable and payable ageing reports, along with full double-entry books.

Can I filter by customer group?

Yes. The report has a customer group filter as well as a type filter, so you can show only wholesale customers, staff accounts or any other group you've set up under Contacts, Customer Groups. Combine it with the type filter to narrow the list further.

How do I bring in old balances from my previous system?

Enter each contact's existing balance in the opening balance field, either one at a time or through Import Contacts with a spreadsheet. The report shows those amounts as opening balance due, and payments recorded later reduce them. Check the report after importing to confirm the totals match your old system.
