Rooms, rates and room types

The hotel room booking add-on module, shown as HMS in the back office, starts with rooms. Create room types such as Queen, Double Queen and Suite, with the maximum adults, children and total occupancy, then add the room numbers that belong to each type. Attach amenities from your own list, add photos and a description, and go straight to pricing.

Prices are set per night for each day of the week, so Friday and Saturday can cost more than Tuesday. Special prices cover the number of adults and children, for example a higher rate when a third adult shares the room. Coupons give a fixed or percentage discount on a room type for a date range, with a code you hand out to a group or a returning guest.

Taking a booking

A booking has a status, an arrival and departure date and time, and one or more rooms, each with its type, room number, adults, children and price. Add extras such as breakfast, parking or a late checkout, charged per day, per booking, per person or per person per day. Apply a discount or a coupon, attach the customer and record payments as they come in.

The booking shows its total, what has been paid and what is due. Print a booking PDF with your footer text, and the new-booking email template, with its own subject, CC, BCC and body, can be sent to the guest automatically. Booking totals flow into the business's Profit / Loss Report alongside your POS sales.

Seeing the week ahead

The HMS dashboard shows rooms booked today, pending bookings, rooms available today and by type, guests staying tonight split into adults and children, and lists of today's arrivals and departures. The calendar is a grid of availability by room type with a jump-to-date control, which is the screen most front desks keep open.

Unavailable dates take a room out for a range of dates, marked as Unavailable for maintenance, or as an External booking when it was sold somewhere else. The reports cover bookings, guests, nights and amount for a date range, split into received, confirmed, cancelled and pending, plus adults versus children and the spread of nights per booking.

What it does not do

The booking add-on is for staff taking reservations by phone, email or at the desk. It does not include a public booking page on your website or a channel manager that syncs with online travel agencies, so bookings taken on those sites are entered by hand or blocked out as external. Check that this fits how your guests book before you switch.

The rest of the property runs on SeroPOS itself: breakfast, a bar or restaurant with tables and kitchen tickets, a lobby shop with barcodes and stock, and card payments on integrated terminals. Everything reports to the same back office, so the owner sees rooms and food and beverage in one place.

Frequently asked questions

Is SeroPOS a hotel management system?

SeroPOS has a room booking add-on module for small hotels and motels: room types, rooms, weekday and per-guest pricing, bookings with extras and payments, an availability calendar, blocked dates, coupons, booking PDFs, emails and reports. It does not include a public booking engine or a channel manager.

Can I charge different rates on weekends?

Yes. Each room type has a price per night for every day of the week, so Friday and Saturday can be priced higher. Special prices add rates based on the number of adults and children, and coupons discount a room type for a date range.

Can guests book online?

Not through SeroPOS. The booking add-on is for staff entering reservations. If you also sell rooms on travel sites, enter those bookings or block the rooms as an external booking on the Unavailable screen so they aren't double-booked. The calendar then shows the true availability for every room type.

Can I run my hotel restaurant on the same system?

Yes. The restaurant, bar or breakfast room runs on the SeroPOS till with tables, modifiers, kitchen tickets and card terminals. Room bookings and POS sales share one back office, and both appear in the Profit / Loss Report, so food and beverage sit beside rooms revenue.

How is the room booking module priced?

Hotel room booking is an add-on module on top of a SeroPOS plan, which starts at $30 a month for Standard or $50 for Pro. Contact us for the add-on price, and use the 14-day free trial to set up your rooms first.
