Steps
- Turn on subscriptions. Tick Enable Subscription in Business Settings > Modules and save. The Subscribe option then appears on Create Invoice.
- Create the first invoice. Open Sell > Create Invoice, choose the Customer and products as usual, with Status Final.
- Subscribe it. Tick Subscribe? and open the Subscribe window. Set the Subscription Interval (for example 1 Months), the No. of Repetitions (blank repeats with no end), and for monthly billing, Repeat on (1st to 30th).
- Save. Click Save. This invoice becomes the subscription, and new invoices are generated from it on schedule.
- Manage subscriptions. Open Sell > Subscriptions. Columns show Date, Subscription No., Customer name, Location, Subscription Interval, No. of Repetitions, Generated Invoices, Last generated and Upcoming invoice.
- Stop or change one. Use Stop Subscription to pause it and Start Subscription to resume. Edit changes the lines or interval; Delete removes it.
Good uses
Recurring invoices suit regular standing orders, weekly office deliveries, monthly service contracts and rentals. Each generated invoice is a normal sale: it appears in All Sales with a Subscription Invoice badge, moves stock, and is paid like any other invoice. The original shows a Subscribed Invoice badge.
Frequently asked questions
How do I stop a recurring invoice?
Open Sell > Subscriptions, find the subscription and click Stop Subscription. No more invoices are generated until you click Start Subscription. Invoices already generated stay in All Sales.
Are recurring invoices paid automatically?
No. Each generated invoice is created unpaid, like a credit sale. Record the payment when it comes in, for example with Sell > Receive Payment.
