Create an invoice

Create Invoice is the main way to enter a sale in the web back office. Go to Sell > Create Invoice (/sells/create), pick the location and Customer, set the Sale Date and Status (Final, Draft, Quotation or Proforma), then search or scan products into the Products table. Add any discount, order tax and shipping, record the payment under Add payment, and click Save or Save and print.

Steps

  1. Open Create Invoice. In the sidebar, open Sell and click Create Invoice. The page is titled Add Sale. You need the Add Sale module on and direct sell access.
  2. Pick the location. Choose the business location you are selling from in the box at the top. It decides the stock, invoice scheme and price list used.
  3. Fill in the customer details. Under Customer & Invoice details, choose the Customer (or add a new one), set the Sale Date and Pay term, and choose a Status: Final, Draft, Quotation or Proforma. Leave Invoice No. blank to number it automatically from the Invoice scheme.
  4. Add products. Type in the product search (Enter Product name / SKU / Scan bar code) or scan a barcode. Each line has Quantity, Unit Price, Discount, Tax and Subtotal; change them as needed.
  5. Add discount, tax and shipping. Set the Discount Amount as Fixed or Percentage, pick an Order Tax, and enter Shipping Charges. Total Payable updates as you go. Customers with reward points can redeem them here when reward points are on.
  6. Add shipping details. If you are delivering, fill in Shipping Details, Shipping Address, Shipping Status (Ordered, Packed, Shipped, Delivered or Cancelled), Delivered To and any Shipping Documents.
  7. Record the payment. For a Final sale, under Add payment enter the Amount, Paid on date and Payment Method, pick a Payment Account if you use them, and add a Payment note. Leave it unpaid for a credit sale; Balance shows what is still owed.
  8. Save. Click Save, or Save and print to print the invoice straight away.

Optional fields you may see

Some fields only appear when the feature is set up. Price Group shows when you have more than one selling price group. Commission Agent shows when commission agents are on. Subscribe appears with the Enable Subscription module and turns the sale into a recurring invoice. Sell custom fields appear when you name them in Settings > Custom Labels. Service staff per line shows when that option is turned on in POS settings.

The Invoice No. field can be edited only by roles allowed to change invoice numbers. Everyone else gets the next number automatically.

Web invoices and the till

Create Invoice suits wholesale orders, phone orders, deliveries and anything entered at a desk. Counter sales are rung up in the SeroPOS app. Both end up in All Sales and in the same reports.

Frequently asked questions

How do I make an invoice for a customer who will pay later?

Choose the customer, set a Pay term such as 30 Days, keep Status on Final and save without adding a payment, or with a part payment. The invoice shows as Due or Partial in All Sales, and you can record the payment later from Sell > Receive Payment.

Can I scan barcodes on the web invoice screen?

Yes. Click in the product search box and scan with a USB or Bluetooth barcode scanner. The product is added to the Products table as if you had typed its SKU.

What do the Status options mean?

Final is a completed sale that moves stock and can take payment. Draft saves it unfinished. Quotation is a price offer to the customer. Proforma is a preliminary invoice, for example to request a deposit. Drafts, quotations and proforma invoices don't move stock until converted.
