Steps
- Start a quotation. In the sidebar, open Sell and click Add Quotation. The page opens as Add Quotation.
- Enter the offer. Choose the Customer and Sale Date, add the products with quantities and prices, and any discount, order tax and shipping charges.
- Save. Click Save. There is no payment section on a quotation.
- Find it in the list. Open Sell > List quotations. Filter by Business Location, Customer, Date Range and User.
- Send it. From the row's Action menu, use Print or Download Invoice (PDF) for a copy, View quote url for a link the customer can open, or New quotation notification to email or text it from your template.
- Convert when accepted. Choose Convert to invoice to turn the quote into a sale, or Convert to Proforma Invoice to ask for a deposit first. Edit lets you revise prices before converting.
Quotation templates
The New Quotation notification template, under Settings > Notification Templates, sets the email subject, body and SMS text. Tags such as {contact_name}, {invoice_number}, {total_amount} and {quote_url} fill in from the quote. Set it once and every quote goes out the same way.
Frequently asked questions
Does a quotation affect stock?
No. A quotation moves no stock and reaches no ledger until you convert it to an invoice. Converting it creates the sale with the same lines, which then moves stock and can take payment.
Can I send the customer a link instead of a PDF?
Yes. Use View quote url in the quotation's Action menu to copy a link that opens the quote in a browser without logging in, or send it with the New quotation notification using the {quote_url} tag.
