Steps
- Start a draft. In the sidebar, open Sell and click Add Draft. The page opens as Add Draft with the status already set.
- Enter the sale. Choose the Customer, Sale Date and products as you would on an invoice, with any discount, tax and shipping. There is no payment section on a draft.
- Save it. Click Save. The draft is stored without moving stock.
- Find it later. Open Sell > List Drafts. Filter by Business Location, Customer, Date Range and User. Columns show Date, Reference No, Customer name, Contact Number, Location, Total Items and Added By.
- Change it. Open the row's Action menu and choose Edit to change products or prices, or View and Print to show the customer.
- Make it an invoice. Choose Convert to invoice in the Action menu when it is offered, or Convert to Proforma Invoice if you need a deposit first. The final invoice then moves stock and can take payment.
Drafts, quotations and proforma
All three are unfinished sales that don't touch stock. A draft is for your own use, such as an order you are still building. A quotation is a price offer you send the customer. A proforma invoice asks for payment or a deposit before the final invoice. Each has its own list or badge so you can tell them apart.
Frequently asked questions
Does a draft reserve stock?
No. A draft moves no stock until it becomes an invoice, so the items stay available to sell. If stock is tight, convert the draft promptly or put the goods aside.
Who can see the drafts list?
Users whose role has the list drafts permission. Others can't open Sell > List Drafts. Set it under User Management > Roles.
