Steps
- Prepare the quote. Create the quotation under Sell > Add Quotation and check the lines, prices and valid-until date before you send it.
- Send the approval link. Send the customer the quotation's approval link, which is separate from the View quote url link. They open it in any browser, with no account needed.
- What the customer sees. The page is headed QUOTATION, with Reference, Date, Valid until and Prepared for, the item lines (Item, Qty, Unit, Amount) and the Subtotal, Discount, Shipping, Tax and Total.
- The customer answers. Under Your decision, they type Your name (who is approving), an optional Message, and click Approve quotation or Decline.
- The answer is recorded. The page then shows Accepted, approved by the name typed, or Declined, with the date. It records who answered and when.
- Convert the accepted quote. In Sell > List quotations, choose Convert to invoice on the accepted quotation to make the sale.
When a link can't be answered
If the valid-until date has passed, the page says the quotation has expired and asks the customer to contact you for current pricing. If you revised the quotation after sending it, the page says the figures are no longer current. Once the quote has been converted to an invoice or deleted, the link shows a page saying the quotation is no longer available.
The footer reminds the customer that a quotation is not a tax invoice and no payment is due on it.
Two different links
The link you copy with View quote url only displays the quotation; it has no Approve or Decline buttons. The approval page carries its own link, so only the person you send it to can answer the offer.
Frequently asked questions
Does the customer need an account to accept a quote?
No. The link itself is the access, and the customer types their name to approve. The page records the name, date and time, so you know who said yes. It can only show that one quotation and record one answer.
Can a customer change their answer?
No. Once a quotation is accepted or declined, the page shows the answer and the form is gone. If they change their mind, revise the quote and send it again.
