Steps
- Open the report. In the sidebar, open Payment Accounts and click Payment Account Report, or click View Details on the unlinked payments warning in List Accounts.
- Find unlinked payments. Set Account to None to list payments with no account, or pick an account to see what went into it.
- Set the dates. Click Date Range and pick a preset (Today, Yesterday, Last 7 Days, Last 30 Days, This Month, Last Month, This Year, Current financial year and others) or Custom Range.
- Read each row. Date, Payment Ref No., Invoice No./Ref. No., Payment Type (Sell, Purchase or Expense) and Account.
- Link a payment. Click Link Account on the row, choose the Account in the window and click Save.
- Export. Use the buttons above the table: CSV or Excel downloads the visible rows, Print opens a print view, Columns hides or shows columns, and PDF saves the table (offered in most back-office languages).
Why linking matters
Account balances, the account book, Cash Flow and the Balance Sheet only count payments linked to an account. Till sales and older payments often have none. Linking them here, for example every cash payment to the Cash account, makes your balances complete.
Link Account also works on payments that already have an account, so you can move one that went to the wrong account.
Frequently asked questions
How do I find payments without an account?
Set the Account filter to None. The list then shows only sell, purchase and expense payments that aren't linked to any payment account. List Accounts also shows a warning with the count and a link here.
Can I change the account on a payment?
Yes. Use Link Account on the payment's row and pick the correct account. The balances of both accounts update.
