Run and read the Items Report

The Items Report follows each item from the purchase it came in on to the sale it went out on. Go to Reports > Items Report (/reports/items-report) and filter by Supplier, Purchase Date, Customer, Sell Date and Business Location. Each row shows the product, SKU, supplier, purchase date and price, customer, sell date, selling price, quantity and subtotal.

Steps

  1. Open the report. In the sidebar, open Reports and click Items Report. It uses the purchase and sell report permission.
  2. Filter by the purchase side. Pick a Supplier and a Purchase Date range to see only items bought from them in that period.
  3. Filter by the sale side. Pick a Customer and a Sell Date range to see what a customer bought, and where it came from.
  4. Choose a location. Select a Business Location, or leave Please Select for all.
  5. Read each row. Product and SKU, then the Purchase (supplier, reference and date) and Purchase Price, then the Sale (customer, invoice and date), Location, Quantity, Selling Price and Subtotal.
  6. Export. Use the buttons above the table: CSV or Excel downloads the rows you can see, Print opens a print view, Columns hides or shows columns, and PDF saves the table (offered in most back-office languages).

When to use it

Compare Purchase Price with Selling Price to see the margin you made on each unit, line by line. It is also the quickest way to answer a warranty or supplier question about which purchase a sold item came from.

Items sold without a matching purchase or opening stock have no purchase side, so record purchases for accurate results.

Export and print

Every table on this report has the same toolbar: CSV, Excel, Print, Columns and, in most back-office languages, PDF. The exports take the columns that are visible, so hide anything you don't need with Columns first. The totals row at the bottom of the table is included in the export.

Frequently asked questions

Why do some rows have no supplier or purchase price?

Those units were sold from stock that wasn't recorded through a purchase or opening stock, or the product doesn't track stock. Record opening stock and purchases so each sale can be matched to the stock it came from.

Is the Items Report the same as the Product Sell Report?

No. The Product Sell Report lists sales lines. The Items Report pairs each sold quantity with the purchase it came from, so you see cost and price side by side.
