Set up your chart of accounts in SeroPOS

Your chart of accounts lives at Accounting › Chart of Accounts (/accounting/chart-of-accounts). On a new business, click Create Default Accounts to load a standard set in one go, then edit or add accounts as you need. Each account has an account type, a sub type, a detail type and an optional parent account, so you can group accounts in a tree. Open any account to see its ledger: every debit and credit that makes up its balance.

Steps

  1. Open the chart of accounts. In the back office sidebar, click Accounting, then Chart of Accounts in the module's top bar.
  2. Load the default accounts. If the list is empty, click Create Default Accounts. SeroPOS adds a standard set of asset, liability, equity, income and expense accounts. You can edit or delete any of them afterwards.
  3. Add an account. Click Add and choose the Account Type, then the Account Sub Type and Detail Type. Enter a Name and, if you use them, a General Ledger (GL) Code.
  4. Nest it under a parent. Pick a Parent Account to group related accounts, for example several bank accounts under one Bank parent. The tree view shows the grouping.
  5. Enter an opening balance. If the account already holds money, enter the Balance and the As of date, plus an optional Description. Save.
  6. Switch between table and tree view. Use the tabular view to filter by account type and active status, or the Tree view to see parents and children together.
  7. Open an account's ledger. Click an account to open its ledger with every debit and credit posted to it.
  8. Deactivate accounts you no longer use. Use the activate/deactivate action instead of deleting an account that has history.

Types, sub types and detail types

The account type is the top level (asset, liability, equity, income, expense). Sub types and detail types narrow it down, for example a current asset with the detail type Undeposited Funds. Reports use these to place each account in the right section of the balance sheet and profit and loss.

You can add your own sub types and detail types from Accounting › Settings.

Good to know

Deactivating keeps an account's history in your reports while hiding it from new entries. Accounting is an add-on module. The Accounting item shows in the back office sidebar only when your subscription includes it and your role has the Accounting permissions.

Frequently asked questions

Can I change the default accounts after creating them?

Yes. Create Default Accounts is only a starting point. You can rename, regroup under a different parent, deactivate or delete the defaults, and add your own accounts at any time.

What is the GL code field for?

The General Ledger (GL) Code is an optional number for each account, useful if your accountant numbers accounts by type. It does not change how the account behaves.

How do I see the transactions behind a balance?

Open the account from the chart of accounts. Its ledger lists each debit and credit with the date and source, so you can trace any balance back to the entries that made it.
